Job summary

Naderi Engineering, Inc. seeks a documentation coordinator to manage electronic and hard copy project documents for CAPEX pharma projects. You will ensure proper numbering, filing, and retrieval in alignment with Lonza procedures and the project RACI matrix.

Responsibilities include archiving, reporting progress, and serving as the primary contact for documentation topics while supporting Global Engineering Project Controlling and cross-functional teams.

Responsibilities

• Set up the documentation management process aligned with Lonza procedures.
• Control electronic and hard copy docs for proper numbering, filing and retrieval.
• Ensure submissions follow the RACI matrix and keep the deliverables list up to date.
• Archive project documentation (digital and hard copies) and report progress.
• Escalate issues as needed and serve as first contact for project documentation topics.
• Support and collaborate with Global Engineering Project Controlling.
• Perform other document management duties as assigned.

Systems Experience: SharePoint, Kneat, Unifier, Microsoft Office applications, Procore

• Is responsible for setting up the documentation management process on the project, in alignment with the Lonza internal procedures
• Controls the electronic and hard copy documentation submitted by Lonza, External Engineering, Construction, and Vendor teams for adherence to the numbering, filing, and retrieval principles set up on the project
• Controls whether project documentation is being submitted according to the RACI Matrix defined on the project
• Is responsible for keeping the project deliverables list up to date and implements any changes required by the project team
• Is responsible for archiving project documentation (hard copies and digital files)
• Reports on documentation progress and escalation
• First point of contact for any project documentation topics within the team
• Supports and collaborates with Global Engineering Project Controlling
• Perform other document management duties as assigned.

Qualification:

• 5-10 years of experience in CAPEX/document control, preferably in Pharma and on large-scale projects.
• IT skills are a plus; should learn quickly and be comfortable with different software tools.
• Language: Excellent command of English; other languages are an advantage.
• Strong analytical skills.
• Experience working both independently and in a team-oriented environment.
• Able to deal with Ambiguity - can conform to shifting priorities and demands
• Ability to effectively prioritize and execute tasks in a fast-paced environment.
• Strong written and oral communication skills.
