Job summary

Dayton Physicians Network is seeking a Cancer Program Coordinator in Kettering, OH. The role supports prostate cancer patients through advocacy, scheduling, and navigation, coordinating with physicians, nurse navigators, and the care team.

Primary duties include ensuring timely access to care, tracking referrals and tests, and providing education and resources to patients and families. It is a full-time position with potential travel to other Urology offices.

Qualifications

  • Requires a High School Diploma or GED.
  • At least one year of previous experience working in a medical office or administrative position scheduling appointments or other pertinent activities.
  • 2-4 years’ experience preferred.

Responsibilities

  • Serve as administrative contact for prostate cancer patients, collaborating with nurse navigators.
  • Advocate for patients to promote optimal care and outcomes.
  • Coordinate administrative tasks including scheduling appointments, care transitions, and referrals across the care continuum.
  • Track referrals, diagnostics, pathology results, and appointments to prevent delays in care.
  • Communicate with patients and families with educational materials and resources.
  • Identify and assist with barriers to care including scheduling, transportation, financial needs, and communication challenges.
  • Support administrative coordination of diagnostic workups including imaging, biopsies, and labs.
  • Utilize PPS Analytics to support administrative and operations functions.
  • Route questions to physicians, APPs, or nurse navigators; respond to patient calls and relay test results as directed.
  • Support cancer program activities, including outreach, communications, data collection, and reporting.

The cancer program coordinator functions on a multidisciplinary team as an advocate and coordinator for cancer patients. Provides assistance to the physicians, practitioners, and nurse navigators with administrative and organizational tasks while supporting the delivery of high-quality, patient centered care. Will facilitate timely access to care, assist patients in navigating the cancer care process, schedules appointments and diagnostic services, and help ensure patients receive appropriate education and resources throughout their journey.

Schedule:

Monday - Friday, 8:00am to 4:30pm, eight-hour shifts

This position is primarily for our Kettering location but could float to other Urology offices as needed

Essential Duties and Responsibilities:
  • Serve as administrative contact for prostate cancer patients, collaborating with nurse navigators;
  • Advocates for patients to promote optimal care and outcomes;
  • Facilitate the administrative coordination of patient services including timely scheduling of appointments, care transitions, communication, and referrals for services in collaboration with physicians and the broader care delivery team across the continuum of care;
  • Track outstanding referrals, diagnostic tests, pathology results, and appointments to help prevent delays in care;
  • Communicate with patients and families with appropriate educational materials and community resources. May participate in educational programs;
  • Identify and assist with resolving barriers to care, including scheduling conflicts, transportation concerns, financial resource needs, communication challenges, and other access-related issues.
  • Assist with the administrative coordination and tracking of diagnostic workups, including imaging, biopsies, pathology, laboratory testing, and other evaluations;
  • Utilize PPS (Prospective Payment System) Analytics to support administrative and operations functions related to patient care. Access and maintain patient information, complete required forms and documentation, and ensure accurate and timely data entry into applicable clinic systems and tracking tools.
  • Route clinical questions, symptoms, or concerns to the appropriate physician, APP, or nurse navigator;
  • Respond to patient calls, take messages for physicians, may relay test results and instructions to patients as directed, and other administrative duties as assigned;
  • Support prostate cancer program activities, including patient outreach, program communications, educational initiatives, data collection, reporting, and other administrative projects as assigned.

  • Willing to travel to other locations for business needs;
  • Other duties as assigned.

Required Education and/ or Experience:

  • Requires a High School Diploma or GED and;
  • At least one year of previous experience working in a medical office or administrative position scheduling appointments or other pertinent activities on a regular basis
  • 2-4 years’ experience is preferred.
General Skill Requirements:
  • Excellent oral and written communication
  • Working knowledge of Microsoft Office, including Word, Excel and Outlook.
  • Experience working with a Practice Management system.
  • Attendance and punctuality are essential requirements of this position to provide excellent customer service to both our internal and external stakeholders.
