This full-time, non-exempt role reports to the Executive Director of Facilities Optimization and involves EMS scheduling software management, event logistics, and campus-wide scheduling coordination.

The position requires a Bachelor’s degree or equivalent, 3+ years using EMS scheduling tools, and strong Google Suite proficiency.

Qualifications

  • Bachelor degree or equivalent combination of experience and training.
  • At least 3 years of EMS Scheduling Software experience with desktop and virtual platforms.
  • Advanced proficiency in EMS Scheduling Software configuration and user management.
  • Excellent oral and written communication skills.
  • Proficiency with Google Suite (Docs, Gmail, Sheets, Slides, Drive).

Responsibilities

  • Lead EMS scheduling software projects and oversee system configurations.
  • Manage desktop and virtual EMS platforms, user accounts, templates and parameters.
  • Maintain accurate digital and physical records of campus buildings, rooms, and resources.
  • Coordinate campus reservation approvals and event setup requirements.
  • Create diagrams, maintain a weekly master calendar, and generate automated EMS reports.
  • Collaborate with Registrar to update course and exam schedules; assist in policy development.
  • Support special events and summer operations; assist with housing and vendor logistics.

Job Description:

Franklin & Marshall College is recruiting for a full-time Campus Scheduling Administrator.

Job Details:
  • Location: F&M Campus - Lancaster, PA
  • Classification: Full-time, Non-Exempt
  • Schedule: 40 hours, Monday - Friday.
  • Reports to: Executive Director of Facilities Optimization
  • Department: Office of Campus Resource Stewardship
  • Approved Hourly Rate: $24.00/hour
Essential Functions:
EMS Software & Systems Management:
  • Lead the EMS and Virtual EMS project, overseeing system configurations and continuous platform improvements.
  • Manage both the desktop and virtual platforms of the EMS scheduling software. Create, update, and manage Everyday User accounts, user templates, and system parameters.
  • Maintain precise, up-to-date digital records of all campus buildings, rooms, and resources within EMS, while maintaining corresponding physical documentation.
  • All other duties as assigned.
Event Logistics & Resource Coordination:
  • Assess and manage the approval process for campus reservation requests, evaluating specific setup needs for internal events.
  • Coordinate resource allocation within the Facilities Services department. Overlap with operations to assure that event setup requests have been submitted and completed.
  • Create diagrams and visual layouts for event organizers and setup personnel to ensure accurate execution.
  • Maintain and distribute a weekly master calendar detailing current reservations and setup orders. Develop automated reports within EMS that would provide information to departments where information can be filtered in order to allow notification of specific service requirements such as catering, access control changes, room set-up, housekeeping etc.
  • All other duties as assigned.
Coordination Across Scheduling Platforms:
  • Work with the Registrar's office to update the course schedule and the final exam schedule in accordance with institutional directives.
  • Assist in writing, editing, and implementing campus-wide scheduling policies and procedures.
  • Generate and analyze room utilization reports; collaborate across college departments and divisions to ensure efficient space optimization.
  • All other duties as assigned.
Special Events & Summer Operations:
  • Serve as an active member of the Commencement Committee. Assist with all logistical operations before, during, and after annual ceremonies, and coordinate rental arrangements with external vendors as needed.
  • Assist with the management of housing allocations and summer camp building access by working with the Conference and Events staff to provide support as needed.
  • All other duties as assigned.
Requirements:
Required Qualifications:
  • Bachelor Degree or equivalent combination of experience and training.
  • At least 3 years of experience in EMS Scheduling Software or similar software programs (Desktop and Virtual platforms), including system configuration and user management.
  • Advanced proficiency in EMS Scheduling Software (Desktop and Virtual platforms), including system configuration and user management.
  • Excellent oral, written, interpersonal communication skills.
  • Proficiency in Google Suite Products (Docs, Gmail, Sheets, Slides, Drive)
  • Evidence of a commitment to community & belonging.
  • Successful interview.
  • Successful completion of background checks.
Preferred Qualifications:
  • Prior experience with Adobe Photoshop and Illustrator
  • Prior professional work experience in a Higher Education setting.
Additional Information:
