Job summary

Caltech is seeking a temporary Recruiting and Events Coordinator to support the employer relations team with event coordination and staffing while the search for a permanent role is conducted.

This onsite role in Pasadena, CA involves coordinating events, communicating with employers, students, postdocs and alumni, handling registrations and logistics, and helping with information sessions both on campus and virtually.

Qualifications

• Must have a high school diploma and strong communication skills.
• Ability to lift 25 pounds and set up/tear down event spaces.
• Experience coordinating campus or large-scale events is preferred.
• Willingness to work outside normal business hours occasionally.

Responsibilities

• Coordinate event logistics, including room bookings and catering.
• Assist with on-site event setup, registration, and attendee guidance.
• Communicate schedules and materials to employers, students, and alumni.
• Maintain event records in Next Steps CALE recruiting platform.
• Support post-event breakdown and reporting.
