Qualifications

  • High school diploma or GED required; MA training program preferred.
  • Medical Assistant certification preferred.
  • Experience in a medical office, college health center, clinic, or healthcare setting preferred.
  • Experience with electronic health records, data entry, scheduling systems, and office technology.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage confidential information with professionalism and discretion.
  • Ability to work effectively with college students and a diverse campus community.
  • Ability to multitask, prioritize assignments, and work in a fast-paced environment.

Responsibilities

  • Assist nurses and the medical doctor with student visits, screenings, and basic clinical procedures.
  • Prepare exam rooms and ensure supplies and equipment are clean, stocked, and ready for use.
  • Obtain and document student vital signs, health history updates, and reason for visit as directed.
  • Assist with health screenings, immunization clinics, wellness events, and campus health initiatives.
  • Maintain confidentiality and follow all HIPAA, FERPA, and university privacy guidelines.
  • Support follow-up communication with students regarding appointments, referrals, required documents, and health-related needs.
  • Schedule student appointments for Health Services, including medical provider visits, nurse visits, immunizations, and follow-up appointments.
  • Greet and check in students in a professional, welcoming, and confidential manner.
  • Answer phone calls, respond to inquiries, and direct students to appropriate services or staff.
  • Maintain accurate calendars for Health Services staff and providers.
  • Assist with managing student forms, medical documentation, immunization records, and required health compliance documents.
  • Support daily office operations, including filing, scanning, copying, organizing records, and maintaining office supplies.
  • Manage and maintain the Electronic Health Record system, including student profiles, appointment records, clinical documentation, uploaded forms, and service data.
  • Enter accurate data into the EHR and other university systems as required.
  • Monitor EHR workflows and assist staff with basic system navigation and documentation needs.
  • Ensure records are complete, accurate, confidential, and maintained according to university and legal requirements.
  • Complete purchasing requisitions for medical supplies, office supplies, equipment, and other departmental needs.
  • Communicate with vendors and university purchasing offices as needed.
  • Maintain organized purchasing records, receipts, invoices, and budget-related documentation.
  • Work collaboratively with nurses, the medical doctor, Counseling Services, Student Wellbeing, Public Safety, Residence Life, Athletics, and other campus partners as appropriate.
