Job summary

Indiana University Bloomington is seeking a Meeting Services staff member to handle event coordination for the Indiana Memorial Union. You will manage reservations, confirmations, invoicing, and reporting, while ensuring smooth logistics for seminars, conferences, and alumni events.

The role requires strong communication, organization, and a commitment to high-quality service; this is an in-person position at the IMU with standard business hours and comprehensive IU benefits.

Responsibilities

• Coordinate design, layout, and logistics of events including seminars, workshops, board meetings, conferences, student and alumni events, performances, and exhibitions.
• Serve as liaison with vendors, partner organizations, departments, and facilities to ensure adherence to budget and procedures.
• Answer guest and customer calls and emails with information about event services.
• Maintain files, documents, calendars, and event-related correspondence; assist in distribution of marketing materials.
• Assist in setup of meeting or conference spaces and coordinate with Set-Up Coordinators as needed.
• Coordinate with media/marketing on event publicity.
