Job summary

Carney, Sandoe & Associates is seeking a Payroll Specialist for an independent school in Atherton, CA. You will own the biweekly payroll process, ensure accuracy, and maintain payroll data across HRIS and timekeeping systems, while adhering to California and federal wage-and-hour requirements.

You will collaborate with HR, managers, and Finance to resolve payroll issues, run audits, and support year-end activities.

Qualifications

• 3–5 years payroll experience, including California payroll.
• Working knowledge of California and federal wage-and-hour requirements.
• Strong Excel skills for payroll reports, lookups, and pivots.
• Experience using an HRIS/payroll and timekeeping system; data audits and issue resolution.

Responsibilities

• Own the end-to-end biweekly payroll process from inputs to payroll close.
• Coordinate inputs from HR, managers, timekeeping systems, and external providers.
• Review and audit timekeeping and payroll inputs, hours, premiums, deductions and leave.
• Maintain payroll-related employee data and system configurations in HRIS and timekeeping systems.
• Administer payroll in line with CA and federal wage-and-hour requirements; generate pay statements.
• Process off-cycle payments, retroactive adjustments, and special payments as needed.
• Reconcile payroll, validate reports, and liaise with Finance on journal entries and GL tie-outs.
• Support payroll-related changes due to employee status changes or leaves; coordinate with HR.
