Job Description

Responsible for purchasing materials, parts, supplies, and equipment following established purchasing policies and procedures to optimize price, delivery, and terms. The role primarily involves buying off-the-shelf items and does not include developing specifications. Provide administrative support within the traffic department, answer phones, and serve as a point of contact for customers, drivers, contract carriers, and division employees.

Essential Functions

  1. Review purchase requisitions for proper authorization.
  2. Identify potential suppliers and issue requests for quotations.
  3. Analyze and select suppliers, issue purchase orders in SAP by Design, follow up, and expedite as necessary.
  4. Process requests for equipment service.
  5. Collaborate with Accounts Payable on pricing issues, such as overbilling and credits.
  6. Create and maintain filing systems related to shipping, including DOT regulations and contracts.
  7. Assist the department manager with transportation methods for raw materials and finished products.
  8. Communicate compliance instructions to shipping locations.
  9. As needed, deliver small loads or make pickups at local vendors.
  10. Perform daily filing and dispatch functions for the shipping office.
  11. Maintain a positive work environment through effective communication with customers, co-workers, clients, and supervisors.
  12. Track costs versus purchase orders and approve invoices for payment.
  13. Perform additional duties as assigned by the supervisor.

Qualifications

  • College degree or equivalent experience in business-related activities.
  • High integrity and problem-solving skills due to diversified purchase items.
  • Mature judgment, initiative, and good interfacing skills with internal departments and suppliers.
  • Experience in dispatching, shipping, and receiving.
  • Proficiency in MS Word, MS Excel, or Google Workspace Docs and Sheets.
  • Experience with inventory, shipping, receiving, and production software preferred.
  • Excellent verbal and written communication skills.
  • Ability to interact effectively at all organizational levels.

Additional Information

Work Environment: General office and production setting with daily exposure to computer displays and shop environments.
