JOB TITLE: Business Systems Coordinator
REPORTS TO: VP of National Accounts
FLSA STATUS: Non-Exempt
SUMMARY
TheBusiness Systems Coordinator roleis responsible for maintaining the accuracy, organization, and flow of information across Opterra’s business systems. This position serves as a key connection betweenSales, Operations, client portals, and technology platforms, ensuring information is transferred accurately and processes are consistent. The role will manage system data, lead imports and exports, maintain CRM and transaction cleanliness, support ZoomInfo integration, troubleshoot system issues, and help improve processes to make Opterra’s systems more efficient and reliable.
QUALIFICATIONS/SKILLS/ABILITIES
- High School Diploma or equivalent
- 2+ years of experiencein Sales Operations, Business Systems, Data Management, or a related fieldand/or a bachelor’s degree in a related field
- Strong computer skills and the ability tolearn and navigate multiple business systems and software platforms
- Strong problem-solving skills with the ability to troubleshoot system and data issues
- Strongorganizational and attention-to-detail skillswith the ability to manage large amounts of information accurately
- Strong communication skills and the ability to work effectively with Sales, Operations, and other internal teams
- Self-motivated and able to work independently while meeting deadlines and managing multiple priorities
- Ability to managedata imports/exports and identify errors or inconsistencies
- Ability to establish and followstandardized processes and procedures
- Experience withCRM systems, data management, spreadsheets, and system reportingpreferred
- Experience withZoomInfo, NetSuite, Salesforce, or similar business systemsis a plus
PHYSICAL REQUIREMENTS
- Must have the ability to sit and work at a desk on a computer for extended periods
DUTIES AND RESPONSIBILITIES

- Manage the flow of information betweenclient portals, Sales, Operations, and Opterra’s internal systems
- Monitor client portal requirements, approvals, tasks, proposals, purchase orders, and other customer-specific processes
- Ensure information is accurately transferred between client portals and Opterra systems
- Identify communication or system gaps and work with the appropriate teams to resolve issues
- Establish and maintain standardized processes for managing information between systems
Data Import / Export & Transaction Management
- Manage the import and export ofleads, SOs, approvals, tasks, proposals, and related records
- Ensure data is transferred accurately, efficiently, and consistently between systems
- Maintain standardized procedures and documentation for recurring data imports and exports
- Troubleshoot errors, missing information, duplicate records, and failed data transfers
- Identify opportunities to streamline or automate repetitive data-entry and transfer process
Record Organization & Data Integrity
- Maintainaccurate, complete, and organized customer, sales, and transaction records
- Establish and maintain standards for CRM and system cleanliness
- Regularly review records for missing information, duplicates, incorrect assignments, outdated data, and inconsistencies
- Ensure opportunities, proposals, SOs, tasks, approvals, and customer records are properly connected and documented
- Work with Sales and Operations to correct data issues and improve ongoing data accuracy
- Manage the import and export oflead data between ZoomInfo and Opterra’s internal systems
- Maintain clean, accurate, and usable prospect and lead data
- Ensure new leads are properly assigned, categorized, and entered into the appropriate Opterra systems
- Identify duplicate, outdated, or incomplete prospect records and coordinate corrections
- Work with Sales leadership to ensure lead data supportsterritory management, prospecting, and business development efforts
- Continuously improve the quality and usability of Opterra’s prospect database
- Perform other duties as assigned
