About First Choice Transports
First Choice Transports LLC is a Connecticut-based transportation company specializing in safe, dependable and professional transportation for school-age children, students with specialized needs, private families, schools and institutional clients. We operate a fleet of sedans and minivans and serve school districts, private schools and other transportation partners throughout Connecticut.
The company is founder-led and entering its next stage of operational growth. We are building a disciplined, accountable and scalable organization that can deliver consistently without depending on the CEO to personally resolve every daily issue.
Our Five Non-Negotiables
These standards guide every decision, every hire and every interaction at First Choice Transports:
Position Mission
The Business Operations Manager will serve as the CEO's operational right hand — turning vision and priorities into organized, measurable and profitable execution. This person will take ownership of the company's daily operating system, lead managers and employees, strengthen financial performance, build repeatable processes and ensure that all commitments are completed safely, accurately and on time.
The position exists to accomplish two primary outcomes: build a well-run, profitable transportation company that delivers consistently — and remove the CEO from routine operational management so the CEO can focus on relationships, contracts, strategy and expansion.
This is not an executive assistant, dispatcher, consultant or strategy-only role. It is a hands-on leadership position with direct accountability for execution and results.
Reporting Relationships
- Dispatcher and scheduling personnel
- Fleet Coordinator and fleet-management personnel
- Executive Assistant and administrative team
- Drivers and monitors through the appropriate management structure
- Customer-success and sales-support personnel
- Outside fleet, technology and operational vendors
- Future department leaders as the company grows
The Operator will lead leaders — not merely complete tasks for them.
Core Responsibilities
1. Daily Transportation Operations
- Oversee daily route execution, scheduling and overall transportation readiness
- Ensure next-day driver and vehicle schedules are completed and communicated by the required deadline
- Build and maintain a reliable backup system for driver callouts, vehicle failures and service disruptions
- Coordinate with the Dispatcher and Fleet Coordinator to resolve issues at the lowest appropriate level
- Conduct regular operational audits and replace temporary fixes with permanent solutions
- Prepare contingency and business-continuity plans
2. Team Leadership & Accountability
- Supervise and hold the Dispatcher, Fleet Coordinator and administrative team directly accountable
- Establish clear employee responsibilities, deadlines and performance standards
- Conduct regular one-on-one meetings with key operational employees
- Address lateness, poor follow-through, attendance issues and policy violations
- Coordinate coaching, written warnings, performance improvement plans and termination recommendations with the CEO
- Model, teach and enforce the company's five non-negotiables daily
- Review and interpret the company's P&L, cash flow, payroll costs, accounts receivable and financial trends
- Monitor payroll, overtime, fuel, maintenance and all operating expenses
- Review timecards and investigate inconsistencies
- Ensure services are invoiced accurately and outstanding invoices are followed up promptly
- Build route-level and customer-level profitability reporting
- Reduce financial leakage, unnecessary overtime and avoidable operating costs
4. Customer Service & Retention
- Establish a consistent process for receiving, documenting, investigating and resolving complaints
- Communicate professionally with parents, schools, district representatives and institutional clients
- Identify complaint patterns by driver, route and issue type and implement preventive action
- Protect key customer relationships through timely and professional problem resolution
- Escalate major contractual, legal, safety or relationship risks to the CEO immediately
- Develop customer retention plans and proactively contact key accounts
5. Fleet & Safety Oversight
- Hold the Fleet Coordinator accountable for preventive maintenance, inspection readiness, repair tracking and vehicle availability
- Monitor out-of-service vehicles, repair turnaround times and recurring mechanical problems
- Verify that vehicles are assigned effectively and driver-vehicle compatibility is maintained
- Ensure all operating practices meet the company's safety and compliance requirements
6. Systems, Reporting & Technology
- Document and continuously improve standard operating procedures and checklists
- Produce and maintain a weekly operating scorecard and concise CEO report
- Introduce practical technology and AI tools that improve accuracy, speed and accountability

- Maintain organized, accessible and confidential operational records
7. Growth Support
- Evaluate whether the company has operational capacity before new routes or clients are accepted
- Coordinate the operational launch of new clients and services
- Provide accurate cost, staffing and capacity information to support pricing decisions
- Support expansion into additional transportation services while protecting existing service quality
Company Culture & Leadership Standards
- Personally modeling Safety, Timeliness, Reliability, Customer Experience and Professionalism in every interaction
- Translating each value into specific expected behaviors for every role
- Including company values in hiring, onboarding, coaching, recognition and performance reviews
- Recognizing employees who demonstrate the culture and correcting conduct that conflicts with company standards
- Building trust through clarity, fairness and consistent follow-through
- Surfacing uncomfortable facts rather than hiding them from the CEO
- Challenging the CEO respectfully when a decision threatens agreed priorities or financial performance — and supporting the final decision once it is made

- Routes are consistently covered, and service is delivered safely and dependably.
