A leading company is seeking a Business Operations Manager to oversee administrative systems, financial coordination, and compliance. This role requires strong organizational skills and the ability to manage multiple priorities in a remote-first environment. The ideal candidate will have over 5 years of experience in operations and be proficient in QuickBooks.
As our Business Operations Manager, you’ll play a critical role in keeping our business running efficiently. You’ll manage administrative systems, financial coordination, and compliance, while supporting a remote-first, fast-moving team. You’ll be the go-to person for ensuring that nothing falls through the cracks.
Key Responsibilities
Oversee and continuously improve day-to-day operations using Monday.com to track tasks, workflows, and project milestones. Maintain internal operations calendar (renewals, compliance deadlines, key deliverables).
Support and manage business certifications, IT compliance documentation, and multi-state operational requirements, registration portals, and renewal documentation. Assist with IT compliance documentation and regulatory filings for multi-state operations (e.g., Microsoft SSPA, state registrations).
Track and coordinate annual insurance renewals (general liability, E&O, cyber, workers’ comp, etc.). Liaise with insurance brokers to maintain appropriate coverage and documentation. Maintain policy records and assist with claims reporting and response coordination as needed.
Collaborate with our external bookkeeper and use QuickBooks to track expenses, manage invoices, assist with reconciliations, and support budgeting. Support financial planning, forecasting, and annual budgeting cycles. Maintain vendor W-9s and support preparation of 1099s.
Use Harvest to manage time tracking, client billable hours, and ensure timely and accurate client invoicing and address discrepancies with project leads.
Coordinate with our payroll provider to manage multi-state payroll and ensure state tax compliance. Maintain compliance with state and local tax laws, including registrations, filings, and notices.
Maintain repository of NDAs, MSAs, SOWs, and subcontractor agreements. Track contract renewals and support execution of new agreements. Help ensure vendors and subcontractors meet compliance and insurance requirements.
Serve as a trusted partner to the founders by owning recurring operational tasks and proactively solving problems. Document and improve internal SOPs across finance, HR, IT, and compliance functions. Prepare reports and operational summaries for internal decision-making.
