With increasing demand for her expertise and offerings, Lorraine is hiring her first full-time team member—a pivotal role to streamline operations, scale impact, and shape the future of her growing business.

About the Role

As Lorraine’s Business Operations Coordinator, you’ll be her go-to partner in managing the day-to-day and building systems to support growth. You’ll thrive on both sides of the brain: detail-obsessed and highly organized, while also being a creative thinker who’s energized by problem-solving and communication.

This role is for someone who’s equally comfortable drafting a social media strategy, building a CRM pipeline, organizing back-end logistics, and taking ownership of client deliverables like proposals, follow-up emails, and scheduling calls. You won’t just manage timelines; you’ll execute on them. It’s part executive assistant, part operations lead, and part creative collaborator. Key Responsibilities

Executive Support & Operations

  • Manage Lorraine’s inboxes (LinkedIn and email), calendar, and scheduling across client work, speaking events, and content projects
  • Coordinate logistics for webinars, virtual trainings, and key meetings
  • Manage invoicing, contracts, and light bookkeeping tasks
  • Streamline workflows, document processes, and build systems for scale
  • Own and improve internal operations tools

Marketing & Content Coordination

  • Develop compelling business collateral and speaking proposals that reflect Lorraine’s brand and drive interest
  • Write high-converting copy for landing pages, lead magnets, and sales funnels
  • Lead strategy and experimentation to grow Lorraine’s newsletter, Career Bites, including audience acquisition, engagement, and retention tactics

Business Development & Client Management

  • Own and manage the CRM pipeline, ensuring leads are tracked, followed up with, and moved through the funnel efficiently (includes speaking clients, brand deals, etc.)
  • Develop and optimize follow-up strategies to improve lead conversion and engagement
  • Conduct research on speaking opportunities and ideal client leads, identifying new business opportunities
  • Lead inbound inquiry management and support proactive lead generation
  • Draft and send client-facing emails and materials, with an eye toward relationship-building and conversion
  • Maintain deep familiarity with all client and prospect relationships, ensuring Lorraine is prepped with relevant context ahead of calls and deliverables
  • Assist with business planning, including market research and strategic development
  • Create and improve systems and processes that drive operational efficiency and support growth

A Few 90-Day Milestones

  • Full CRM implementation and optimization, with visibility into every stage of the client pipeline
  • Be fully familiar with all active and potential clients in the pipeline, including stage, context, and next steps for each opportunity
  • Automated and scalable process for speaking engagements, including pre-event prep and post-event follow-through
  • Smooth handling of inbound messages, Typeform submissions, and inbox triage, ensuring nothing slips through the cracks
  • Clear action item tracking system after client or prospect calls, tied to calendar or follow-up workflows
  • Documentation of key systems (speaking, content, CRM, sponsorships), with suggestions for improvement or simplification
  • Understanding of Lorraine’s workflows, content voice, and expectations
  • Independently draft and send client emails and proposals, requiring minimal edits from Lorraine
  • Ownership of newsletter and audience growth experiments, including list health, opt-ins, and recommendations for optimization
  • Monitor Lorraine’s LinkedIn inbox and flag, draft, or respond to messages as appropriate
