Position: Senior Administrative Assistant
Location:Honolulu
Salary:$55,000 – $65,000 annually, depending on experience
We are seeking a highly organized and detail-oriented Senior Administrative Assistant to support a variety of administrative, human resources, accounting, project coordination, and office operations functions. This role serves as a key support resource for leadership and staff while helping ensure the efficient day-to-day operation of the organization. The ideal candidate is proactive, adaptable, professional, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative Support
- Provide comprehensive administrative support to leadership and team members.
- Coordinate meetings, schedules, travel arrangements, and company events.
- Prepare correspondence, reports, presentations, and other business documents.
- Maintain organized records, files, and confidential information.
- Serve as a point of contact for clients, vendors, and internal stakeholders.
Human Resources Support
- Assist with employee benefits administration and insurance-related matters.
- Support leave administration, workers’ compensation, and employee recordkeeping.
- Maintain personnel files and compliance documentation.
- Assist with onboarding and other employee programs.
Accounting & Payroll Support
- Enter and code accounts payable invoices.
- Support payroll processing and timecard administration.
- Reconcile employee expense reports and company credit card statements.
- Collect and maintain vendor and subcontractor documentation.
Project & Document Coordination
- Set up and maintain project files and documentation.
- Prepare contracts, purchase orders, and project-related documents.
- Assist with billing and payment application processes.
- Track compliance documentation and project closeout materials.
Office Operations
- Coordinate office vendors, supplies, and service providers.
- Assist with facilities, office equipment, and company records management.
- Support insurance administration and annual renewal activities.
- Help identify and implement process improvements to increase efficiency and organization.
Qualifications
- Associate's or Bachelor's degree in Business Administration, Human Resources, Accounting, or a related field preferred.
- Previous experience in administrative, office operations, HR, accounting, payroll, or project coordination roles.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and manage sensitive information.
- Ability to prioritize multiple tasks and meet deadlines.
