Department Summary

Administrative Services oversees multiple business hubs and sharedservice organizations throughout the University. Located within theFinance and Administration portfolio, the objective of the divisionis to provide efficient, strategic and specialized administrativeservices to support the missions of various departments, schoolsand colleges at the University of Oregon. Administrative Servicesfocuses on department-specific budget, finance, payroll, humanresources, and procure-to-pay functions as well as specializedphysical security and utility technologies. Administrative Servicesis a metric-driven, people-first administrative team that strivesto create efficient, effective and sustainable administrativesupport structures across campus.

As one of the shared services hubs in Administrative Services, theProvost's Administrative Services Team (PAST) provides business andadministrative services for Partner Units in the Office of theProvost (OtP) portfolio. PAST partner units include the Division ofGlobal Engagement; Division of Graduate Studies; Jordan SchnitzerMuseum of Art; Museum of Natural and Cultural History; UniversityCareer Center; Undergraduate Education and Student Success;Services for Student Athletes; and University Libraries. The unitssupported by PAST constitute a large business enterprise consistingof more than 1,500 employees and total operating expenditures ofmore than $73.5 million, all funds. PAST works with multipleemployee category types including four different unions andofficers of administration.

Position Summary

(Hybrid-Eligible) The Business Operations Assistant providesoperational and administrative services across a range of businessfunctions for PAST's partner units. This position supports areassuch as accounts payable, purchasing, contracts, and travel,helping to ensure timely, accurate, and compliant processing.

Reporting to the Business Operations Manager, the BusinessOperations Assistant carries out routine and moderately complexbusiness tasks in accordance with established federal, state, anduniversity policies and procedures. The position uses standardpractices and documented processes to process transactions, respondto inquiries, and resolve issues, collaborating with BusinessOperations Specialists on non routine or complex requests andescalating issues to the Business Operations Manager asneeded.

The Business Operations Assistant works with campus partners suchas Business Affairs, Purchasing and Contracting Services, and theUO Travel Office to support the timely and accurate completion ofbusiness transactions. In addition to transaction processing, thisrole supports internal recordkeeping and operational consistency bymaintaining documentation, adhering to established workflows, andassisting with the development and upkeep of standard operatingprocedures. As a member of the PAST Business Operations team, theBusiness Operations Assistant contributes to the shared goal ofdelivering reliable and coordinated business support to PASTpartner units across campus.

Minimum Requirements
  • 12 quarter hours (8 semester hours) of Accounting coursesOR
  • An Associates Degree in Accounting; AND
  • One year of experience* that includes entering, compiling, and/orreporting financial information; OR
  • An equivalent combination of education and experience.

Note: Transcripts must be submitted for all required and/or relatedcourses. All courses must be from accredited colleges, universities, or private vocational schools.

*Experience may come from roles involving entering, tracking,reconciling, or reporting financial information - includingprocessing transactions, reconciling statements, reviewingfinancial documents, or coordinating budgets or expenses, even ifthe work was done outside a formal accounting position.

Professional Competencies
  • Proficiency with office software, including word processing andspreadsheets.
  • Strong attention to detail and ability to manage multiple tasksand competing priorities.
  • Effective communication skills and ability to workcollaboratively with diverse individuals.
  • Ability to apply established policies and procedures andrecognize when issues require escalation.

Preferred Qualifications
  • Experience in accounts payable, purchasing, contracting, ortravel coordination.
  • Experience working in higher education or a public sectorenvironment.
  • Experience using Banner Financial Information Systems(FIS).
  • Experience using Concur for travel booking and expenseprocessing.
