Description
MPOWER Physical Therapy is looking for a Full-Time Business Office Manager to add to our management team.
The Business Office Manager works directly under the Director of Therapy Operations and manages the Administrative Team, Scheduling Team and Front Desk Team to provide an exceptional service-based experience to all the patients that receive therapy services at MPOWER Physical Therapy. This role participates in the active management and support of all our middle-TN MPOWER locations and provides critical support to the company through compliance and risk mitigation responsibilities.

MINIMUM ESSENTIAL JOB REQUIREMENTS
- Lead, Manage, Staff and hold Accountable the following areas of responsibility
- MPOWER Administrative Support Team
- Administrative Assistant
- Compliance Administrative Assistant
- MPOWER Front Desk Manager and Team
- MPOWER Therapy Scheduling Manager and Team
- Ensure the highest level of customer service for our patients, clients and internal customers
- Maintain appropriate licensure for subscription-based resources for MPOWER team members
- Oversee inventory and supply ordering through associated vendors
- Coordinate with the Accounting Department to ensure proper invoices and documentation submitted for company expenses
- Maintain role-specific processes and procedures for areas of responsibility to ensure consistency and efficacy across all locations
- Conduct audits and coordinate regular revisions of playbooks and onboarding procedures
- Lead Quarterly Process Review Meetings to ensure all processes are up-to-date and identify areas of focus for revision or process creation
- Ensure accurate data and reporting provided to support Therapy Operations
- Coordinates with the Director of Therapy Operations to ensure proper support and communication for daily Therapy Operations
- Assists C.O.O. and Director of Therapy Operations with projects as assigned
- Manage and ensure compliance in the following areas of risk:
- HIPAA (act as HIPAA Officer)
- OSHA (act as OSHA Officer)
- Liability insurance for all MPOWER facilities
- Liability insurance for MPOWER Personal Training, Massage Therapy and Nutrition service lines
- Ensures Massage Establishment Licensure is up to date and renewed on-time
- Accident and incident reporting
- Provider Licensure and Credentialing
- Therapy Billing and Documentation Audits:
- Daily Claims Audits
- Insurance Documentation Audits
Qualifications
KNOWLEDGE, SKILL AND COMPETENCY REQUIREMENTS
- Bachelor’s or master’s degree from an accredited university in healthcare business or related field and physical therapy business management experience in a medical practice or hospital setting preferred
- 2 or more years’ experience in Healthcare in a management role preferred
- Excellent ability to effectively manage teams to goal attainment
- Knack for problem solving and process development
- Proven skill with appropriate delegation and supervision of direct reports
- Excellent follow up skills with internal and external stakeholders
- Excellent organizational, prioritization, and communication (verbal and written) skills
- Firm command of MS Office Suite, Electronic Medical Record (EMR) and Practice Management (PM) platforms, and Personal Training and Massage Point of Sale and Scheduling platforms, and other key applications
- Neat and professional appearance
- Calm, professional demeanor with ability to deal with difficult situations and complex problems
- Strong understanding of the company’s services, operations, and culture
- Ability to maintain the utmost level of confidentiality of records and all types of communication and information
- Excellent knowledge of the healthcare and fitness industries
- Excellent ability to lead and participate in all meetings in a professional and thoughtful manner
