Job Summary: The Business Office Manager (BOM) will provide structure and leadership for the office employees. The BOM computes, classifies, records, and verifies numerical data for use in maintaining accounting records by performing the following duties.

Essential Job Functions: Comply with all applicable rules, policies, standards, and guidelines related to employment with Westminster Services and its communities. Strong multitasking, communication, organizational, and interpersonal skills are critical for success in this role.

  • Manage day-to-day business operations, including Accounts Payable and Accounts Receivable. Responsible for entering ancillary charges (e.g., Medicare, pharmacy, etc.).
  • Responsible for month-end closing for the community.
  • Manage payroll processing on a bi-weekly basis. Process payroll at least once a quarter to ensure proficiency; serve as backup for the Assistant BOM regarding payroll processing.
  • Manage the Resident Trust Account.
  • Handle Promissory Notes at the community level. Notify MSS when notes are paid.
  • Provide the pharmacy provider with daily census, changes in level of care, and insurance information.
  • Ensure that monthly resident statements are accurate and mailed on time. Follow up on private accounts with phone calls and letters. Review and update billing rates for residents.
  • Perform all other tasks as assigned by MSS’s Finance Department.
  • Delegate tasks and manage subordinate employees effectively.

Essential Qualifications:

  • Education and Experience:
  • High School diploma or equivalent; college/vocational/technical training preferred.
  • Equivalent educational and work experience in business and secretarial skills.
  • 2-4 years related experience.
  • Experience with financial billing software is required; knowledge of other software is a plus.
  • Experience processing data is a plus.
