Job description

This is an onsite opportunity in Washington, DC.

Responsibilities
  • Responsible for and performs various administrative and operations management duties, including helping to review and distribute reports to internal division management and employees on various administrative operations functions that may include and not limited to:
  • Assist with preparation and maintenance of all or portions of divisions’ budgets including some data analysis and reporting requirements.
  • Assist with managing purchase card transactions and enter purchase orders in Coupa.
  • Manages personnel actions, including vacancies & departures. Maintains understanding of existing Board HR practices/procedures and assists with the development of division-specific Human Capital solutions.
  • Assists with coordination of office space for the division, including office moves and other space-related efforts for new and existing staff.
  • Assist in managing the divisions travel program, including approvals, budget aspects, and policy guidance/compliance.
  • May provide logistical and/or administrative support to the planning, scheduling, material preparation, and/or food and beverage arrangements for various division meetings or events.
  • Maintains familiarity with Board and division administrative policies and procedures to ensure compliance.
  • Other duties as assigned to support the Division’s administrative needs.
Required Skills & Experience
  • High school or equivalent years of work experience.
  • 3 Years of experience in Business Management Analyst.
  • Proven ability to manage administrative tasks with high attention to detail and strong organizational oversight.
  • Hands-on experience coordinating complex schedules, timelines, or project plans.
  • Exceptional written and verbal communication skills, including professional editing and proofreading capabilities.
  • Strong aptitude for problem-solving and critical thinking.
  • Experience in Data Analysis, reporting, and modeling processes to drive informed decision-making.
  • Prior experience handling financial data, budgeting, or related fiscal tasks.
  • Dedicated background in providing high-quality support and managing client relationships.
  • Advanced knowledge of the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is essential.
Preferred Skills & Experience
  • Demonstrated ability to multitask, good organizational skills, strong detail and project oriented as well as the ability to deal effectively with all levels of Board staff.
  • Must be able to work well in group settings and express oneself clearly, both orally and in writing. Should possess the ability to exercise judgment, initiative, and confidentiality in all areas of responsibilities.
  • Familiar in business technology skills, including ability to quickly learn and adapt to new software utilized by the section and the Board is essential.
