Job summary

Job Description

To plan and coordinateequipment and facility set-up for meetings, conferences, and special events; tosupervise the maintenance and security of a state building; perform relatedwork.

The successful candidate supports thedaily operational execution of event logistics, setups, and teardowns acrossthe Idaho State University campus. Serving as a primary liaison betweenfacility guests and department staff, this role ensures the delivery of premiercustomer service and the seamless execution of scheduled university functions.The Coordinator works hand-in-hand with the event setup team, overseessophisticated audiovisual integrations, and maintains clean, secure, andprofessional environments across venue spaces.

This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.

Key Responsibilities
Daily Operations & Customer Service
  • -Providefrontline hospitality by welcoming clients and stakeholders for scheduledevents, delivering proactive assistance, and managing real-time logisticalchanges.
  • -Serveas a central institutional resource accurately interpreting university policies andfacility procedures.
  • -Facilitatecross-departmental communication and collaborate closely with full-time management toensure operational alignment.
  • -Compilecomprehensive operational reports detailing daily activities, shift dynamics, andincident data or unusual circumstances.
Event Management & Supervision
  • -Coordinatephysical event configurations, managing the deployment and teardown of tables,chairs, pipe-and-drape configurations, stanchions, and specialized outdoorequipment.
  • -Superviseand lead the Event Services crew, assigning daily workflows, monitoring operationalproductivity, and fostering a collaborative team environment.
  • -Auditvenue configurations against official daily setup worksheets to verifyphysical setup accuracy and compliance.
  • -Overseetechnical audio-visual (AV) operations, troubleshooting and managing thedeployment and breakdown of portable digital projectors, laptops,microphonic systems, and supporting equipment.
  • -Operateprofessional-grade AV configurations safely, including 16-channelmixing consoles, amplifiers, monitors, loudspeaker systems, and videoprojection displays.
  • -Spearheademployee training initiatives, orchestrating onboarding sessions, stafforientations, ongoing technical AV instruction, and continuous in-servicedevelopment workshops.
Facility Maintenance & Safety
  • -Maintainrigorous facility cleanliness standards across assigned event venues, encompassing waste management, furniture sanitization, carpet/upholsteryspot cleaning, and necessary upkeep.
  • -Upholdsafety protocols to protect guests, staff, and university assets.
  • -Executeemergency response procedures effectively during medical incidents, fire alarms,civil disruptions, or severe weather conditions.
  • -Managelogistical storage areas, ensuring equipment staging zones and supply closetsremain organized, inventory-controlled, and compliant with safety codes.
  • -Mitigatefacility infrastructure issues by promptly initiating communication with the on-callemergency maintenance crew for building failures (e.g., floods, structuralleaks).
Minimum Qualifications

Experience

  • -Operating andmaintaining commercial lighting, audio-visual, and sound equipment.
  • -Using tools,equipment, materials and common practices used in facility preparationincluding custodial work.
Specialty Requirement
  • -These positions at ISUrequire a valid driver's license.
Supplemental Information
  • -This position worksspecial events and is subject to 24-hour call.
  • -This work requires the ability to regularly lift and carry 35pounds, with the possibility of lifting as much as90 pounds.
  • -This work involvesstanding and walking approximately 80% of work time.
