Job summary

Kimpton Hotel Monaco Pittsburgh is seeking a Sales and Catering Coordinator to provide vital administrative and organizational support to the Sales & Catering team, ensuring smooth daily operations and timely client communications.

You will maintain Delphi/Salesforce records, draft contracts and BEOs, prepare reports, and coordinate site visits and events to help drive revenue goals while upholding brand standards.

Qualifications

• High school diploma or GED or equivalent combination of education and experience.
• One to two years related experience in sales or hospitality is acceptable.
• Understanding of business communications and basic reporting is beneficial.

Responsibilities

• Supports daily administrative operations for the sales and catering team, including preparing documents and reports, and coordinating internal communications.
• Maintains Delphi/Salesforce database with up-to-date client records, opportunities, activities, and reports.
• Drafts and formats group contracts, proposals, BEOs, and other sales/catering documents per brand standards.
• Prepares and distributes weekly and monthly sales reports, lead logs, and pipeline updates.
• Handles client inquiries professionally and follows up to ensure excellent service and team responsiveness.
• Coordinates logistics for site inspections, client visits, sales trips, and promotional events.
• Supports marketing by maintaining collateral inventory and assisting Marketing Manager as needed.
• Performs general office duties including ordering supplies and managing records for Sales & Catering.
