Job description

Responsibilities
  • Lead Front-Office Communications: Manage high-volume incoming inquiries and streamline client and vendor communication.
  • Optimize Field & Technical Scheduling: Schedule and dispatch field technicians while keeping clients informed throughout the service lifecycle.
  • Drive Permitting Compliance: Draft, file, track, and close out construction and electrical permits while coordinating closely with municipal building departments.
  • Oversee Accounting Operations: Manage AR/AP cycles, review vendor statements, generate client estimates, and execute bookkeeping tasks within QuickBooks Online.
  • Facilitate Payroll & Compliance: Support payroll execution with external PEO partners and maintain key legal documentation, including lien releases and certificates of insurance.
  • Enhance Administrative Workflows: Identify opportunities to improve existing office procedures, organize job files, and drive independent task management across changing priorities. Responsibilities
  • Industry Experience: 3+ years in specialty trade or general construction office administration (electrical contracting experience preferred; HVAC, plumbing, or specialty service trades highly regarded).
  • Permitting & Compliance: Proven track record navigating Florida building department protocols, code compliance, and inspection workflows.
  • Financial & Bookkeeping Skills: Direct experience with QuickBooks Online, accounts payable/receivable (AP/AR), construction billing, and vendor account reconciliation.
  • Operations & Logistics: Demonstrable success in dispatching, service coordination, and scheduling field technicians.
  • Stakeholder Liaison: Skilled at communicating cross-functionally with municipal inspectors, utility companies, sub-contractors, suppliers, and clients.
  • Core Competencies: Exceptional written and verbal communication, digital file organization, accurate data entry, and computer literacy.
