As we continue to grow, we’re looking for a Full-Time Office Manager to join our team and play a vital role in keeping our operations running smoothly. This is far more than a back-office position—it’s an opportunity to serve as the administrative backbone of our company, supporting our leadership, field teams, and clients while helping to maintain the professionalism and efficiency that define our brand.

About The Role

As the Office Manager, you will be the central hub of our daily operations, responsible for overseeing administrative functions, managing office logistics, and supporting the leadership team. You’ll play a key role in maintaining compliance through permit tracking, organizing documentation for active projects, and ensuring smooth communication between internal and external stakeholders.

Key Responsibilities

  • Oversee and manage all administrative operations to ensure the office runs efficiently.
  • Serve as the primary point of contact for guests and incoming calls; perform receptionist duties with professionalism and a friendly demeanor.
  • Manage incoming and outgoing mail and deliveries.
  • Obtain, track, and manage permits for ongoing construction projects, including building, dumpster, and street occupancy permits.
  • Enter and maintain accurate financial data including invoices and receipts using Sage 100 Contractor.
  • Monitor and reconcile company credit card usage and ensure timely receipt tracking.
  • Prepare and process client invoices and change orders.
  • Review timecards and coordinate payroll processing.
  • Maintain project documentation such as contracts and insurance certificates.
  • Support the management team with various administrative tasks and project-related coordination.
  • Ensure office supplies are stocked and handle light custodial duties to maintain a clean and functional workspace.

Qualifications

  • 2+ years of experience in office administration or a similar role, preferably in construction or a related industry.
  • Familiarity with permit processes and city requirements is a plus.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with Sage 100 Contractor is highly desirable.
  • Strong organizational skills with a keen eye for detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • A proactive, solution-oriented mindset and the ability to work independently.
  • Demonstrated reliability, professionalism, and leadership qualities.
