Job Summary

The Bookkeeper supports the financial operations of the firm by maintaining accurate books, managing trust/IOLTA accounting, and providing timely financial reporting to leadership. The role requires handling high-volume settlements, case costs, and vendor payments while ensuring strict compliance with legal, ethical, and accounting standards, in alignment with firm values of respect, selflessness, empathy, integrity, humility, and excellence.

Duties / Responsibilities
  • Maintain the general ledger for operating and trust accounts, including daily posting of receipts, disbursements, and journal entries in QuickBooks (or similar) and case management software.
  • Perform monthly three‑way trust reconciliations (bank statement, trust ledger, and individual client ledgers), promptly research and resolve discrepancies, and maintain complete audit‑ready documentation.
  • Process personal injury settlements from funding through final disbursement, including preparing settlement statements, issuing checks/ACH payments to clients, lienholders, and vendors, and recording all settlement‑related entries.
  • Track case costs/advances (filing fees, medical records, experts, investigators), ensure accurate linkage to matters, and coordinate reimbursement to the firm at settlement.
  • Manage accounts payable: receive, verify, and enter invoices; code to proper matters or GL accounts; schedule and process payments; maintain W‑9s and support for year‑end 1099 reporting.
  • Manage accounts receivable: record settlement receipts and other deposits, monitor outstanding balances or reimbursements, and coordinate with attorneys/COO regarding collection issues.
  • Reconcile all bank and credit card accounts monthly, including operating, trust, payroll, and any deposit accounts; investigate and resolve variances in a timely manner.
  • Prepare and distribute regular financial reports requested by leadership.
  • Assist with budgeting and cash‑flow planning by updating projections, tracking actual performance, and flagging variances or emerging trends.
  • Partner with the external CPA on quarterly and annual tax filings, year‑end close, and any audits or reviews, providing schedules and supporting documentation as needed.
  • Collaborate with the litigation and intake teams to ensure financial data (case costs, liens, settlements) is accurately reflected in case management systems such as Salesforce/Litify.
  • Maintain organized digital and physical accounting records, including invoices, statements, reconciliations, and settlement files, in accordance with firm document retention policies.
  • Uphold and model the firm’s core values in all internal and external interactions, including professional communication with clients, vendors, and team members.
Required Skills / Abilities
  • Strong analytical and organizational skills with the ability to manage multiple accounts, deadlines, and high‑volume transactions accurately and efficiently.
  • High attention to detail and commitment to data integrity, particularly for trust account balances, settlement statements, and client funds.
  • Proficiency with QuickBooks (or similar accounting software), Microsoft Excel/Office, and experience integrating or working alongside legal case management platforms (e.g., Salesforce, Litify, Filevine, Clio).
  • Understanding of law firm accounting principles, including IOLTA/trust compliance, case costs, and contingency‑fee personal injury workflows.
  • Excellent written and verbal communication skills to clearly explain financial information to attorneys, staff, and external vendors.
  • Ability to work independently and collaboratively in a fast‑paced, team‑oriented environment, prioritize competing tasks, and meet tight deadlines.
  • High degree of professionalism, discretion, and judgment when handling confidential financial and client information.
Education and Experience
  • Associate’s degree in Accounting, Finance, Business, or related field; Bachelor’s degree preferred (or equivalent relevant experience).
  • 3+ years of bookkeeping experience, including at least 2 years in a law firm or professional services environment; personal injury or plaintiff’s practice strongly preferred.
  • Demonstrated experience with trust/IOLTA accounting and three‑way reconciliations.
  • Prior experience processing settlements, tracking case costs, or managing lien payments in a personal injury context is highly valued.
Supervisory Responsibilities

None.

Physical Requirements

Office environment: Primarily sedentary work performed in a professional office setting at our San Antonio headquarters, with in‑person attendance Monday through Friday. Ability to remain seated for extended periods (up to 6–8 hours daily) while working on a computer and reviewing financial and case records. Frequent use of keyboard, mouse, and dual monitors; repetitive hand/wrist motions for typing and data entry. Occasionally lift and transport file boxes or records weighing up to 30 pounds. Adequate visual acuity to review detailed financial documents on paper and screens, and adequate speech and hearing for in‑person and phone communication.
