Position Overview

We are seeking a motivated professional to join our Accounting department as a Projects Billing Specialist. Our team handles monthly client invoicing, and we are looking to add a dependable, hardworking member to our group.

Responsibilities

• Collaborate with Project Managers and the Project Accounting Manager to ensure billing arrangements are correctly followed prior to invoice finalization.
• Prepare and submit draft invoices, providing variance analysis as needed.
• Coordinate and distribute drafts for review and revisions.
• Monitor revisions and finalize invoices.
• Ensure invoices comply with client contracts and guidelines.
• Handle billing requests and research aging AR balances, providing analysis for action.
• Respond to client revision requests promptly.
• Make necessary corrections to time entries and address billing issues.
• Review client guidelines to ensure compliance and proper setup for e-billing.
• Submit invoices via various e-billing portals and monitor their status.
• Update billing rates and apply them to client matters as needed.
• Work with Project Managers to resolve rejected invoice issues.
• Monitor external e-billing websites for updates.
• Provide monthly billing estimates and accruals upon request.
• Perform other duties as assigned.

Qualifications

• At least 3 years of continuous billing experience, preferably involving invoicing, accounting, and software applications in the construction, architectural, or engineering industries.
• Experience with Deltek Vision software is a plus.
• Proven ability to manage a high volume of invoices efficiently.
• Strong organizational skills and ability to remain calm under pressure in a fast-paced environment.
• Enjoys working collaboratively in a team setting.
