Job summary

Creative Financial Staffing, LLC partners with a growing professional services client to place a remote Billing Specialist who will manage a high-volume government-contract invoicing workflow. This is a stable, growth‑minded firm where you’ll own end‑to‑end billing processes and collaborate with project teams.

The role requires 2+ years in A/E/C billing, Deltek Vantagepoint/Vison, and strong Excel skills. Remote-friendly with EST hours; background check and drug screen are required.

Qualifications

• 2+ years of billing experience within an A/E/C company
• Experience with cost plus contracts; knowledge of FAR, rate tables, and labor transfers
• 1+ year of experience using Deltek Vantagepoint and/or Deltek Vision
• Strong proficiency with Microsoft Excel
• Must pass pre-employment background check and drug screen

Responsibilities

• Generate and process client invoices for government contracts (Fixed Fee, Cost Plus, PoC, T&M) with accuracy and contract compliance
• Review project labor rates before invoicing; resolve rate discrepancies with PMs and setup teams
• Configure project-specific billing in Deltek Vantagepoint (rates, terms, invoices)
• Perform labor transfers, expense reallocations, and timecard corrections for accurate costing
• Oversee end-to-end billing: preparation, approvals, submission, posting, including customer portals
• Liaise with Project Managers to address billing issues and ensure invoicing compliance
• Monitor unposted invoices and billing exceptions to keep AR and WIP accurate
• Support month-end close with timely invoice processing and posting
• Maintain audit-ready billing documentation; support government contract billing and indirect cost allocations
• Assist with AR inquiries, billing adjustments, and write-offs as needed

Job Duties for the Billing Specialist:

• Generate and process client invoices for a variety of government contracts, including Fixed Fee, Cost Plus, PoC, and T&M, ensuring billing accuracy and compliance with contract terms.
• Review project labor rates prior to invoicing and collaborate with Project Managers and project setup teams to resolve rate discrepancies that may impact billing timelines.
• Establish and maintain project-specific billing configurations within Deltek Vantagepoint, including rate schedules, contract terms, and customized invoice requirements.
• Perform labor transfers, expense reallocations, and timecard corrections to maintain accurate project costing and billing records.
• Oversee the end-to-end billing process, from invoice preparation and internal approvals through client submission and final posting, including invoices submitted via customer billing portals.
• Serve as a key liaison to Project Managers by addressing billing issues, securing approvals, and ensuring compliance with contract-specific invoicing requirements.
• Monitor and resolve outstanding billing exceptions and unposted invoices to maintain accurate accounts receivable, work-in-process, and unbilled project reporting.
• Support month-end close activities by ensuring all invoices are processed and posted within the appropriate accounting period.
• Maintain thorough and audit-ready billing documentation, including support for government contract billing and indirect cost allocations when applicable.
• Assist with accounts receivable inquiries, billing adjustments, and write-off reviews as needed.

Qualifications for the Billing Specialist:

• 2+ years of experience performing billing functions within an A/E/C company
  • Candidates at a higher level (team lead or manager) that meet the requirements are encouraged to apply!
  • Experience working with cost plus contracts and knowledge of FAR, rate tables, and labor transfers
• 1+ year(s) experience using Deltek Vantagepoint and/or Deltek Vision required
• Strong proficiency with Microsoft Excel required
• Must be able to pass pre-employment background check and drug screen

Salary: $60,000-$72,000 depending heavily on experience
Schedule: This role is 100% remote for candidates with government contract billing experience AND well versed in Deltek Vision/Vantagepoint. Must be able to work standard EST business hours.
