Job summary

CoolSys is seeking a Billing/Data Entry Specialist to manage invoicing processes, verify data accuracy, and submit final invoices or credit memos by email, mail, or portal. You will review discrepancies, respond to inquiries, and support cross-functional teams.

Ideal candidates have strong typing, organization, and communication skills, with 1–2 years data entry experience and proficiency in Microsoft Office and Dynamics.

Responsibilities

• Enters customer and account data from source documents within time limits.
• Establishes entry priorities based on customer deadlines.
• Prints and submits final invoices to customer per required method of delivery.
• Prints and submits credit memos to customer per required method of delivery.
• Reviews invoices against customer portal for discrepancies before submission.
• Researches and responds to invoice queries from internal teams.
• Communicates with customers and directs requests to the appropriate department.
• Uses Smartsheet to confirm invoices/batches are entered and communicate discrepancies.
• Maintains and responds to emails in the Billing inbox.
• Performs related duties as needed.
