Job summary

ERock in Houston, TX is seeking a Billing & CMMS Administrator to manage the back-office work order lifecycle from field completion to invoicing. You will ensure labor, travel, parts, and approvals are captured for invoicing while coordinating with Operations and Accounting.

You will administer the CMMS/Field Service Management system, maintain data for equipment and sites, generate quotes, and drive process improvements.

Qualifications

• Proficiency in Microsoft Excel and CMMS systems.
• Proven ability to collaborate across internal teams and external stakeholders.
• Keen attention to detail to ensure invoice accuracy and compliance.

Responsibilities

• Manage back-office work order process from field to closure and invoicing.
• Ensure billable work orders have labor, travel, parts, docs for invoicing.
• Identify and resolve billing blockers with stakeholders.
• Prepare customer and asset-owner quotes and maintain CMMS documentation.
• Communicate invoice details to customers via email and portals.
• Administer CMMS / Field Service Management System.
• Maintain CMMS data for equipment, locations, contracts, warranties.
• Set up new equipment and locations in CMMS for field activity.
• Establish preventative maintenance parameters and generate maintenance work orders.
• Monitor work order and billing queues for aging orders and system errors.
• Maintain data quality and assist with system issues.
• Support CMMS workflow improvements, reporting, and controls.
• Prepare weekly and monthly operational performance reports.
• Assist with testing of new CMMS functionality.
• Perform other duties as assigned by supervisor.
