Job summary

WSP Global Inc. is seeking a detail-oriented invoicing professional to join our project teams in the United States.

You will prepare client-ready invoices using Oracle, ensure compliance with contract terms, and manage complex or high-volume billing templates. The role involves revising invoices, compiling supporting documents, reconciling Oracle with system or spreadsheet data, submitting invoices to client portals, and resolving submission errors.

Responsibilities

• Partner with project teams to develop client-specific invoice formats and ensure contractual compliance.
• Prepare client-ready invoices using Oracle.
• Revise invoices and adjust project expenditures and maintenance in Oracle.
• Compile and provide supporting documentation (timesheets, expense reports, invoices) as required.
• Reconcile Oracle invoices with system or spreadsheet data before finalizing.
• Submit final invoices and documentation through client billing portals.
• Monitor portal submissions and resolve submission errors or invoice issues.
• Maintain accurate records of invoice submissions and statuses.
• Perform other duties as assigned.

Job description

Job Duties:

• Partner with the project teams to develop client-specific invoice formats ensuring compliance with invoicing requirements per contract terms and produce complex and/or large volume of client invoices either manual or electronic based on the established invoice template.
• Performs invoice preparation of "client-ready" invoices using Oracle.
• Under direction of the project team, makes appropriate revisions to the invoices including adjustments to project expenditures such as splits or transfers and/or Oracle maintenance including bill rate adjustments.
• Compile and provide supporting documentation (timesheets, expense reports, vendor and subcontractor invoices, etc) as required by the contract.
• Reconcile Oracle with either system generated or spreadsheet-based invoices prior to finalizing draft invoice
• Submit final invoices and required supporting documentation through various client billing portals.
• Monitor portal submissions and assist with resolving submission errors, rejected invoices, or other administrative issues.
• Maintain accurate records of invoice submissions and statuses and assist with follow-up as needed.
