Life Fountain provides in-home direct support services to individuals with disabilities and the elderly. As the receptionist, you will support, greet, inform, and provide documents to all visitors or callers about the agency. The goal of this position is to offer support for basic information to callers and assist with simple projects or requests related to office tasks.
Minimum Qualifications:
- Must pass a criminal background check.
- High School Diploma or GED
-Excellent Communication Skills: Demonstrated strong verbal and written communication skills to engage professionally with customers, colleagues, and vendors.
-Customer Service Oriented: A passion for providing outstanding customer service and a commitment to assisting and supporting clients effectively.
-Organizational Skills: Prioritize and manage time effectively in a fast-paced environment.
Desirable Qualifications:
-Proficient with Technology: Skilled in using computer systems like Microsoft Suite and familiar with basic office software.
-Previous Experience: Experience in customer service, receptionist roles, DSW(PCA), or DSP is preferred.
- Capable of multitasking among various responsibilities simultaneously.
This position is an in-personrequiredposition of 40 hours per week.
Principal Job Responsibilities:
· Greeting Customers (multiple at times): Welcome all visitors and customers with a warm and friendly attitude, fostering a welcoming and professional environment.
· Answering Phone: Respond to all incoming calls and take multiple calls at a time as needed, make outgoing calls, and direct them to the appropriate department by offering accurate information or efficiently transferring calls.
· Administrative Support: Carry out general administrative tasks such as data entry, filing, managing mail, letters, memos, documents, maintaining spreadsheets, sending reminder emails, maintaining person served and external employees system files/notes up to date, and providing support to other departments as needed.
· Customer Assistance: Respond to inquiries, assist with the website, and provide information as requested by the person served or external employee.
· Maintenance of Reception Area: Always keep the reception area clean, help maintain kitchen and common areas organized, clean and presentable.
· Translate for those served, employees, and office staff.
· File person served and employee records, time verifications, and paperwork.
· Make copies for employees, applicants, and/or persons served.
· Monitor the WIX chat for website inquiries.
· Document concerns and compliments from callers for office records and training purposes.
· Collect and categorize mileage, reimbursement, and program notes.
· Assist the Guidance department as needed.
Other:
· Attend office meetings.
· Complete the required training for the position or improvements
· Support with departmental projects
· Lunch will be scheduled due to the coverage related to the position.
· Prevent and identify fraud.
