Job description

Therapy Tree is seeking a dedicated and organized Bilingual Office Manager to oversee daily operations at our outpatient pediatric clinic. The Office Manager will ensure smooth clinic functioning, support medical staff, and create a welcoming environment for young patients and families. Key responsibilities include:

  1. Must be bilingual in Spanish.
  2. Monitor the NCNS sheet on Fridays to ensure charge approval.
  3. Support therapists with technology, protocols, and therapy materials, managing upkeep, charging, and stocking.
  4. Optimize and fill clinic schedules, aiming to meet business KPIs.
  5. Create decision trees and document business processes.
  6. Train and manage employees, developing training materials.
  7. Be present at the clinic during all hours, including evenings and weekends, to oversee operations.
  8. Conduct safety checks, oversee maintenance, and manage cleaning crews.
  9. Respond to after-hours security and maintenance issues; cover other clinics as needed.
  10. Manage clinic budget and oversee purchasing.
  11. Train patients on check-in, payments, registration, and documentation procedures.
  12. Potentially manage remote clinics without an OM.
  13. Collaborate with other OMs and participate in weekly meetings with the Executive Team to track KPIs.
  14. Work closely with the Clinical Director to support their success and complete a certification course to become a medical translator.
  15. Answer phones and emails to assist with inquiries.
