Job description

Minivasive Pain and Orthopedics is looking for a full‑time Medical Scheduler in Spring. The Scheduler is responsible for checking out patients and understanding patient needs in order to correctly organize and schedule procedures promptly.

ESSENTIAL FUNCTIONS
  • Communicates with all appropriate parties concerning patient and procedure details.
  • Follows up to ensure all documentation is obtained.
  • Verifies that all authorizations have been obtained prior to scheduling procedures.
  • Schedules or reschedules patient follow‑ups and procedures.
  • Coordinates transportation for procedure patients when needed.
  • Provides patients with necessary information and instructions before the procedure date.
  • Follows up on all cancelled or no‑show patients.
  • Checks out patients.
  • Sends prescriptions to pharmacy via fax or e‑mail.
  • Moves patients through appointments as scheduled.
  • Answers telephone inquiries.
  • Updates patient information in the database.
  • Scans and files documents into patient records on eCWo H&P, Orders, Procedure Document, and prescriptions under the RX folder when applicable.
  • Manages filing and record‑keeping activities.
  • Updates daily logs for all patient office visits.
  • Updates daily logs of all patients who have confirmed procedures.
  • Submits information to the verification department for pre‑authorization.
  • Ensures completeness and accuracy of patient forms.
  • Reports statistics as required.
  • Protects patient and family privacy rights and maintains confidentiality of patient records in accordance with policy and HIPAA requirements.
  • Travels as necessary to other facilities.
  • Performs other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of administrative and clerical procedures and systems such as word processing, file management, records, and office procedures and terminology.
  • Strong computer skills with proficiency in Microsoft Office (Outlook, Excel, Word) and eCW.
  • Strong attention to detail and thoroughness in completing work tasks.
  • Ability to work independently with minimal supervision.
  • Exceptional customer service and phone etiquette.
  • Professional communication with patients.
  • Energetic with a desire to learn and develop new skills.
  • Ability to travel between various locations if needed.
EDUCATION AND EXPERIENCE
  • High School diploma or GED.
  • One year of experience in a medical office scheduling setting.
