Job summary

HCS is looking for an experienced, professional, and detail-oriented HHA scheduler. We are seeking bilingual candidates fluent in Spanish, Russian, or Chinese to support scheduling across care teams in Brooklyn, NY.

The role involves supervising field staff, coordinating admissions, handling complaints, and collaborating with recruiting and clinical teams to ensure timely, cost-conscious patient care. Occasional nights and weekends may be required.

Qualifications

  • Minimum 3 years of progressive homecare or health care experience including staffing, employee relations, recruitment required.
  • Strong written and oral communications; ability to work with a diverse range of constituencies.
  • Skilled at coaching employees at all levels within the organization.
  • Excellent computer skills, including EMR operation, email communications, and spreadsheet data review.
  • Must be a team-player and able to motivate and develop staff.
  • Ability to handle confidential documents and sensitive information professionally.
  • Ability to work in a fast-paced environment using technology-based programs and maintain records.
  • Experience mediating and resolving employee relations issues.
  • Skilled at investigating and resolving employee/client relations issues with documentation and analysis.
  • Ability to handle multiple projects and changing priorities, including after-hours work.
  • Exemplary organizational and time management skills.

Responsibilities

  • Supervises field staff and schedules to minimize unscheduled shifts and overtime while ensuring timely admissions.
  • Coordinates new admissions and keeps leadership informed on activities affecting admission.
  • Receives, investigates, and resolves scheduling-related client complaints.
  • Coordinates with Recruiting and participates in hiring and orientation activities for staff.
  • Ensures disciplinary actions for non-clinical performance issues as needed.
  • Coordinates caregiver/nurse schedules to ensure client needs are met within budget and minimize overtime.
  • Maintains mass communication with regional field employees.
  • Facilitates communication between Care Coordination, leadership, clinical, and recruiting teams.
  • Coordinates with clinical team to optimize staffing for patient care.
  • May work nights and weekends to resolve scheduling issues.
  • Other duties as assigned.

HCS is looking for an experienced, professional, and detail-oriented HHA schedulers. We are seeking bilingual candidates fluent in Spanish, Russian, or Chinese.

JOB RESPONSIBILITIES
  • Supervises the field staff, including schedule management, to minimize unscheduled shifts, limit/prevent overtime, and ensure timely admission of referrals.
  • Directly manages and oversees the coordination of new admissions to ensure timely referral-to-admission conversion. Ensures operational leaders and sales employees are kept informed on all activities impacting admission.
  • Receives, investigates, and resolves client complaints related to scheduling.
  • Communicates recruiting needs to the Recruiting Department and participates in recruitment, hiring and orientation activities including interviewing potential field staff and participating in orientation.
  • Ensures all field employees receive progressive disciplinary action for non-clinical performance issues as necessary.
  • Ensures caregiver/nurse schedules are coordinated to promote consistency for clients, minimize overtime, limit incentives, and puts cost controls in place to ensure client needs are met within budget.
  • Manages/oversees mass communication with regional field employees to engage employees and communicate pertinent information.
  • Ensures effective and efficient communication between the Care Coordination department and service location leadership, clinical leadership, and recruiting.
  • Coordinates and collaborates with clinical team to ensure staffing assignments are optimized for patient care delivery.
  • May be required to work a flexible schedule, including nights and weekends, as required to resolve escalated scheduling issues.
  • Other duties as assigned.
REQUIRED EXPERIENCE, EDUCATION, SKILLS & ABILITIES
  • Minimum 3 years of progressive homecare or health care experience including staffing, employee relations, recruitment required.
  • Strong written and oral communications; and ability to work with a wide range of constituencies in a diverse environment.
  • Skilled at coaching employees at all levels within the organization.
  • Excellent computer skills, including ability to operate in an EMR, send/receive email communications, and review/analyze spreadsheet data.
  • Excellent coaching and interpersonal skills with the ability to build trust and establish and maintain effective working relationships. Must be a team-player.
  • Must have ability to motivate and develop staff.
  • Ability to handle confidential documents and sensitive information professionally.
  • Ability to work effectively in a fast-paced work setting using technology-based programs and platforms; perform simple accounting procedures; and maintain effective recordkeeping system.
  • Experience serving as a mediator and recommending and applying interventions to resolve employee disagreements, conflicts, or misunderstandings.
  • Skilled at investigating and resolving employee/client relations issues including gathering and analyzing documentation, meeting with employees and supervisors, and recommending potential solutions.
  • Ability to handle multiple projects, changing priorities and frequent heavy workloads which may require work outside of normal business hours.
  • Must have exemplary organizational and time management skills.
