  • Knowledge of healthcare staffing practices, scheduling procedures, and compliance requirements.
  • Excellent written, verbal, interpersonal, and customer-service skills.
  • Strong organizational, time-management, and problem-solving abilities.
  • Ability to manage multiple priorities, meet deadlines, and respond effectively to urgent staffing needs.
  • Ability to maintain confidential employee and client information.
  • Availability to participate in the on-call rotation.

Responsibilities

  • Coordinate employee placements and schedules to ensure authorized client services are covered.
  • Match employees with assignments based on qualifications, credentials, experience, availability, client needs, and location.
  • Respond promptly to callouts, open shifts, schedule changes, and urgent coverage needs.
  • Maintain accurate employee schedules, availability records, case assignments, and coverage documentation.
  • Monitor attendance and service delivery using scheduling/timekeeping systems.
  • Follow up on missed visits, late arrivals, scheduling conflicts, and other service concerns.
  • Communicate assignments and schedule changes to employees, clients, families, and agency leadership.
  • Serve as liaison between employees, clients, families, and agency regarding non-clinical scheduling matters.
  • Escalate clinical concerns to nursing supervisor or clinical leadership.
  • Assist with recruiting, screening, interviewing, onboarding, and orienting new employees.
  • Collect and track required personnel and credentialing documentation before assignments.
  • Monitor licenses, certifications, training, background checks, health records, and other requirements.
  • Participate in quality-improvement activities and audits/compliance reviews.
  • Prepare staffing reports and communicate coverage concerns, vacancy trends, and census-development barriers to leadership.
  • Support community outreach, recruitment events, health fairs, and relationships with referral sources.
  • Participate in on-call rotation, including evenings, weekends, and holidays.

The Bi-Lingual Staffing Coordinator will match qualified employees with client assignments, manage schedule changes and callouts, monitor service coverage, and communicate with employees, clients, families, and agency leadership. The ideal candidate is an effective problem-solver who can manage competing priorities and respond calmly and professionally to urgent staffing needs.

Essential Job Functions
  • Coordinate employee placements and schedules to ensure authorized client services are appropriately covered.
