Reporting directly to the HR Benefits Manager (or LOA Section Lead), this position provides essential vocational and paraprofessional support to a team of HR Technician II leads. The primary purpose of this role is to serve as the transactional documentation and reporting coordinator for the LOA and Separations section, ensuring the organized flow of information for approximately 19,892 positions. This involves the routine distribution of OSC LOA reports and Monitoring of Tasks reports to 200+ offices and assisting with the tracking of Return-to-Work date changes. As a clerical resource within Central HR, the incumbent assists with the formatting of Standard Operating Procedures (SOPs) and training materials. By utilizing office automation and a basic working knowledge of BEACON/SAP (including time entry), this position gathers and verifies information for review by others to ensure the agency remains efficient in its leave and separation processes. The main goal of this position is to provide vocational administrative assistance and routine reporting support for the LOA and Separations section within Central HR. This position performs the transactional work necessary to support a team of HR Technician II specialists by managing the flow of documentation and reports for approximately 19,000 employees. By assisting with the preliminary review of documents, distributing recurring maintenance reports, and performing the clerical formatting of training materials and SOPs, this role ensures that the section’s records and field communications remain organized and up-to-date. Assisting in the systematic dissemination of recurring reports, such as the Office of the State Controller (OSC) LOA reports and other internal maintenance lists, to field offices across North Carolina. Helping monitor the Monitoring of Tasks (Work Items) report to identify pending items and notifying the specialist team of entries that require their technical review. Gathers information regarding changes in Return-to-Work (RTW) dates from field offices and updates internal tracking spreadsheets to ensure the specialists have current data for payroll processing. Performing routine outreach to field staff to request missing information or documentation identified in standard error reports to ensure files are complete for specialist review. Compiling basic data from reports as requested by specialists to help them identify common administrative errors at the facility level. Assisting HR Technician II specialists by performing a first-level review of leave and separation submissions to verify that all required forms and medical notes are physically present. Helping verify that dates and names on submitted paperwork match the data in the personnel system, flagging any obvious clerical discrepancies for the specialists. Ensuring that all documentation is organized, labeled, and prepared according to standard filing procedures for eventual imaging into the permanent personnel records. Maintaining organized unit files to ensure that documentation is easily accessible for the specialist team when performing analysis or responding to audits. Performing the clerical formatting and editing of Standard Operating Procedures (SOPs) and "how-to" guides, ensuring they follow the department’s standard templates and visual styles. Assisting in the creation of PowerPoint slides and visual aids for training sessions by inputting text and data provided by the specialist team. Coordinating the logistical needs for training sessions, such as scheduling conference rooms, managing attendee sign-in sheets for the 200+ offices, and distributing printed instructional materials. Proofreading training content and procedural documents for basic grammar and formatting consistency before they are finalized by management. Utilizing the BEACON/SAP system to perform basic data research, such as verifying an employee's organizational unit or checking leave balances to support the specialist's case research. Assisting the team by checking time entry records for completeness and highlighting missing entries for the specialist to address. Participating in special data-gathering tasks as assigned, such as pulling files for a specific audit or assisting with large-scale departmental mailing projects. Providing general office support to the broader Central HR team, including scanning, copying, and distributing benefit-related communications.
Salary Grade Range: $33,902 - $59,327
