Arc 1825 - Americas is seeking a Benefit Coordinator to administer and coordinate employee benefits and provide HR/payroll support.

The role serves as the primary contact for benefit inquiries and works with vendors to ensure accurate processing and compliance with laws and company policies.

Responsibilities

  • Administers the Company's employee benefit programs (medical, dental, vision, life, disability, retirement, etc.).
  • Coordinates benefit enrollments, life event changes, COBRA, and annual open enrollment activities.
  • Gathers market data and benchmarking information to evaluate competitiveness of benefits.
  • Monitors benefit trends and regulatory changes to support program decisions.
  • Prepares benefit communications, guides, and enrollment materials for employees.
  • Maintains benefit records in HRIS and processes benefit transactions accurately.
  • Processes invoices, reconciles billing, and resolves vendor issues.
  • Assists with required benefit reporting and filings (e.g., Form 5500).
  • Coordinates with providers and brokers to ensure timely administration of programs.
  • Supports HR communications and payroll with benefit-related updates and audits.
  • Maintains confidentiality of employee records and sensitive information.
  • Provides general HR administrative support and Payroll backup as needed.

Job description

JOB TITLE: Benefit Coordinator

The Benefit Coordinator administers and coordinates the Company's employee benefit programs and provides administrative support to the Human Resources and Payroll departments. This position serves as a primary point of contact for employee benefit inquiries, assists with benefit administration, works with a variety of vendors and brokers, ensures accurate processing of benefit-related transactions, and supports compliance with applicable laws and company policies.

  • Administers the Company's employee benefit programs, including medical, dental, vision, prescription, life insurance, disability, retirement, and other benefit offerings.
  • Coordinates benefit enrollments, qualifying life event changes, terminations, COBRA administration, and annual open enrollment activities.
  • Assists in reviewing the competitiveness of employee benefit programs by gathering market data, industry trends, and benchmarking information.
  • Monitors benefit trends, legislative changes, and best practices, and provides information and recommendations to support benefit program evaluations.
  • Assists with the evaluation and implementation of benefit program changes to support organizational goals and employee needs.
  • Serves as the primary point of contact for employee benefit questions and assists employees in understanding available benefit programs and enrollment procedures.
  • Maintains accurate benefit records within the HRIS and ensures timely processing of employee benefit transactions.
  • Processes benefit invoices, reconciles billing discrepancies, and works with vendors to resolve issues.
  • Assists with preparation and submission of required benefit-related reports and filings, including Form 5500 support and other internal or external reporting requirements.
  • Coordinates with benefit providers, brokers, and third-party administrators to ensure timely and accurate administration of benefit programs.
  • Prepares employee communication materials, benefit guides, and enrollment information for distribution.
  • Monitors benefit-related documentation to help ensure compliance with applicable federal and state regulations.
  • Maintains confidentiality of employee records and sensitive information.
  • Provides administrative support to the Human Resources department, including assisting with HR projects, reporting, personnel records, and other HR initiatives as assigned.
  • Provides support to the Payroll department by assisting with benefit deductions, payroll-related benefit changes, audits, reconciliations, and serving as backup for designated payroll functions as needed.
  • Assists with HR and payroll audits by gathering and organizing requested documentation.
  • Performs other related duties as assigned.
