Job summary

JWCH Institute, Inc. in Los Angeles, CA is seeking a Program Administrator to lead the Residential Treatment Program for Women and Children. You will oversee daily operations, ensure regulatory compliance, coordinate admissions, staff supervision, and interdepartmental collaboration to maintain high standards of care.

The role requires several years of substance-use/mental-health experience, supervisory skills, and SUD certification, with EHR proficiency and a valid CA driver’s license.

Qualifications

• Three years’ experience in substance abuse/mental health.
• One to two years direct supervisory/management experience.
• Bilingual in English and Spanish preferred.
• Registered or Certified SUD Counselor per CA DHCS / NCCA guidelines.
• Proficient with EHR systems and driving program vehicles.

Responsibilities

• Assist Administrative Program Director in administrative/operational tasks.
• Supervise non-clinical staff including drivers and kitchen staff.
• Coordinate between clinical staff and clients on disciplinary matters.
• Document non-clinical group sessions in the EHR.
• Onboard new staff and guests to policies and facility protocols.
• Support Admissions and client onboarding with Intake Coordinator.
• Handle hiring, evaluations, staff development, and promotions.
• Monitor safety, quality, and daily program effectiveness.
• Ensure licensing/regulatory compliance with SAPC/DMC and director.
• Prepare and submit administrative and contract reports.
• Attend trainings and stay current with best practices.
• Perform regular chart reviews for accuracy/compliance.
• Maintain industry knowledge and policy updates.
• Collaborate with Intake/Billing to meet census/financial targets.
• Foster relationships with community partners and providers.
• Coordinate client transportation and vehicle maintenance.
• Manage inventory and procurement of supplies.
• Maintain incident/attendance records and documentation.
• Conduct emergency drills and safety logs.
• Coordinate staff physicals, TB tests, CPR/First Aid with HR.
• Track SAPC annual trainings for staff.
• Act as liaison among Residential, Outpatient, Recovery Housing, and Corporate Office.
• Other duties as assigned.
