Holcomb Behavioral Health Systems - A Chimes Company in Exton, PA is seeking a Clinical Services Support professional to handle referrals, schedule evaluations, support prescribers, and maintain client records with HIPAA compliance.

The role is on-site, Monday through Friday, 10:00 am - 6:30 pm, offering comprehensive benefits and growth opportunities within a purpose-driven organization.

Qualifications

• High school diploma or equivalent.
• Minimum 1 year in medical/mental health or professional office setting with customer service and data entry.
• Clearances: Child Abuse, Criminal Background Check, and Medicaid/Medicare Exclusion verification.
• Licenses/Certifications: None required.

Responsibilities

• Process all incoming referrals quickly and accurately, including verifying insurance eligibility.
• Input and manage referral information within the electronic health record system.
• Transmit referral information promptly to the appropriate team or service.
• Process payments related to record releases and document transactions.
• Manage release of client treatment records to courts and agencies while HIPAA compliant.
• Communicate professionally with external partners throughout the record release process.
• Maintain tracking spreadsheet for all record requests.
• Support prescribers and clinical staff as needed.
• Maintain client records through lifecycle—from data entry to archiving.
• Provide friendly, professional assistance to clients in person and by phone.

Job Description:

In this role, you’ll be a key part of helping clients access the services they need. You’ll handle referrals, schedule evaluations, support prescribers, and keep client records organized and compliant — all while providing friendly, reliable support to both clients and staff.

Schedule Details:

Monday through Friday, 10:00 am - 6:30 pm

$17+/hour

What You'll Do

• Process all incoming referrals quickly and accurately, including verifying insurance eligibility
• Input and manage referral information within the electronic health record system
• Ensure referral information is transmitted promptly to the appropriate team or service
• Process payments related to record releases and ensure accurate documentation of all transactions.
• Manage the release of client treatment records to law offices, disability firms, and behavioral health agencies while strictly adhering to HIPAA guidelines
• Communicate professionally with external partners throughout the medical record release process to ensure timely and accurate information exchange
• Maintain a detailed tracking spreadsheet for all record requests in alignment with record‑keeping protocols
• Support prescribers and clinical staff as needed
• Maintain client records throughout their lifecycle—from data entry and release of information to archiving
• Provide friendly, professional assistance to clients both in person and over the phone

What We're Looking For:

• Education: High school diploma or equivalent
• Experience: At least one year in a medical, mental health, or professional office setting with customer service and data entry responsibilities
• Licenses/Certifications: None required
• Clearances: Child Abuse, Criminal Background Check, and Medicaid/Medicare Exclusion verification
