Job summary

Aquent Talent seeks an experienced program coordinator to support a high-profile partner awards program. You will manage end-to-end event operations, asset quality checks, and cross-team collaboration for seamless execution.

You will coordinate travel, speaker scheduling, and release form workflows, ensuring accurate assets and timely delivery across 40+ finalist entries. Strong written communication is essential and you will interface with legal, travel, and creative teams.

Qualifications

  • Bachelor’s degree in Marketing, Communications, Business Administration, Event Management, or equivalent professional experience.
  • 2–4 years of experience in program/project coordination, event operations, or marketing operations.
  • Ability to manage 40+ concurrent workstreams, track KPIs, and meet tight deadlines with minimal oversight.
  • Experience with secure cloud storage, collaboration platforms, mass communication tools, and content management systems.
  • Ability to manage travel logistics, speaker scheduling, and release form workflows.
  • Precision in quality-checking assets (logos, badges, collateral), verifying spelling, and ensuring correct partner/category pairing.
  • Strong written communication for mass communication execution, formatting, RSVP tracking, and stakeholder correspondence.

Responsibilities

  • Support the end-to-end execution of a high-profile partner awards program, ensuring operational excellence across asset management, vendor coordination, and event logistics.
  • Quality-check and package finalist/winner assets (logos, badges, collateral), ensuring correct partner/category pairing and accurate spelling across all deliverables.
  • Create and distribute asset packages via secure cloud storage and collaboration platforms for vendors and internal partner teams.
  • Coordinate travel logistics for industry jurors with the travel team, including speaker scheduling and release form management.
  • Organize and track client release forms and key performance indicators for 40+ finalist entries; submit bulk approval requests for internal systems.
  • Manage platform implementation updates in lead-up to key program milestones.
  • Execute mass communication and manual formatting, including response tracking and RSVP reminders for the award ceremony.
  • Compile and package non-finalist feedback for upload to the content management platform, maintaining a closed-loop communication process.
  • Work effectively across organizational boundaries—partnering with travel, legal, creative, and partner-facing teams to define, manage, and prioritize deliverables on tight timelines.
