Job summary

Tradewind Aviation in Oxford, CT seeks a full-time Client Services Representative based at our Oxford office. You will anticipate guests’ needs and craft a seamless private charter experience, guiding clients from inquiry through post-trip follow-up with personal, attentive service.

You’ll handle trip details, billing, and logistics, and work closely with Dispatch and Finance to ensure timely updates and issue resolution in a dynamic environment.

Qualifications

• Part 135 private charter experience preferred.
• Strong communication skills (verbal and written).
• Ability to de-escalate difficult situations in a calm, professional manner.
• Self-motivated with the ability to work as part of a close team.
• Independent problem solver.
• Ability to interact effectively with clients, employees, and all levels of management.
• Ability to coordinate multiple projects at once.
• Maintain confidentiality of sensitive information with discretion.
• Adapt to frequent changes in procedures, directions, and outcomes.
• Willingness to work non-traditional hours including evenings, holidays, and weekends.

Responsibilities

• Collect trip details for private charter flights including client and passenger information and special requests.
• Ensure billing information is complete and payments are received.
• Coordinate and confirm trip logistics such as catering and ground transportation.
• Send day-prior itineraries to clients and confirm trip details.
• Monitor weather, mechanical, or delay issues and communicate with clients.
• Serve as liaison between Dispatch and clients for timely updates.
• Follow up after trips, create reports, and document issues and resolutions.
• Collaborate with Finance to resolve outstanding charter expenses.
• Perform other duties as assigned.
