Job description

Auxillary Events and Outside Rentals Intern

Position Summary: This position is responsible for managing and supporting auxiliary events and outside rentals that generate revenue and maximize facility utilization beyond traditional athletic use. The role works closely with internal departments to coordinate staffing, facility setup and breakdown, and operational support while maintaining a focus on customer service, operational efficiency, and institutional standards. Additional responsibilities include assisting with reporting, documentation, and other administrative duties that support auxiliary event and facility operations.

Responsibilities
  • Oversee the planning, coordination, and on-site management of auxiliary events and outside rentals, including sporting events, hospitality functions, tours, banquets, meetings, and other special events.
  • Serve as the primary point of contact for external clients and internal stakeholders, ensuring a high-quality event experience from initial inquiry through event execution and closeout.
  • Manage the event rental database, including scheduling, availability tracking, and documentation.
  • Prepare, review, and administer rental contracts to ensure compliance with institutional policies, insurance guidelines, and financial obligations.
  • Coordinate event logistics such as staffing, facility setup and breakdown, equipment needs, and vendor access.
  • Collaborate with facilities, operations, security, parking, and custodial staff to ensure safe, efficient, and successful events.
  • Assist with post-event evaluations, invoicing, and reporting, and support day-to-day office and administrative duties related to auxiliary event operations.
