Oversee the planning, coordination, and on-site management of auxiliary events and outside rentals, including sporting events, hospitality functions, tours, banquets, meetings, and other special events. Serve as the primary point of contact for external clients and internal stakeholders, ensuring a high-quality event experience from initial inquiry through event execution and closeout. Manage the event rental database, including scheduling, availability tracking, and documentation. Prepare, review, and administer rental contracts to ensure compliance with institutional policies, insurance guidelines, and financial obligations. Coordinate event logistics such as staffing, facility setup and breakdown, equipment needs, and vendor access. Collaborate with facilities, operations, security, parking, and custodial staff to ensure safe, efficient, and successful events. Assist with post-event evaluations, invoicing, and reporting, and support day-to-day office and administrative duties related to auxiliary event operations. Schedule will vary week to week depending on events that are scheduled.
