You will ensure warranty claims are processed accurately, submitted promptly, and reimbursed correctly, working closely with service advisors, technicians, parts, and management. Responsabilités

• Review, prepare, and submit manufacturer warranty claims accurately and on time.
• Verify labor operations, failure codes, parts information, and repair documentation.
• Monitor warranty payments, identify discrepancies, and ensure reimbursements.
• Research, correct, appeal, and resubmit rejected or short-paid claims to maximize reimbursement.
• Stay current on Stellantis warranty policies, recalls, and service bulletins.
• Maintain accurate, audit-ready warranty records with supporting repair documentation.
• Collaborate with Service Advisors, Technicians, Parts, and management to resolve issues.
• Track outstanding claims and address delays or missing information.
• Review claim activity, balances, chargebacks, and recurring issues to identify improvements.
• Help maintain efficient warranty procedures to reduce errors and improve timelines.

ABOUT THE POSITION

As our Automotive Warranty Administrator, you will play an essential role in ensuring warranty claims are processed accurately, submitted promptly, and reimbursed appropriately.

You’ll work closely with our Service Advisors, Technicians, Parts Department, and management team to maintain efficient warranty operations while ensuring compliance with manufacturer requirements.

KEY RESPONSIBILITIES

• Warranty Claim Processing: Review, prepare, and submit manufacturer warranty claims accurately and within required deadlines.
• Claim Accuracy: Verify labor operations, failure codes, parts information, repair documentation, and other required claim details.
• Payment Reconciliation: Monitor warranty payments, identify discrepancies, and ensure claims are reimbursed appropriately.
• Rejected & Unpaid Claims: Research, correct, appeal, and resubmit rejected, denied, or short‑paid claims to maximize reimbursement.
• Warranty Compliance: Stay current on Stellantis warranty policies, procedures, recalls, service bulletins, and manufacturer requirements.
• Documentation & Recordkeeping: Maintain accurate, organized, and audit‑ready warranty records, including supporting repair documentation and warranty parts records.
• Department Collaboration: Work closely with Service Advisors, Technicians, Parts Department personnel, and management to resolve warranty-related issues.
• Claim Follow‑Up: Track outstanding claims and proactively address delays or missing information.
• Warranty Reporting: Review claim activity, outstanding balances, chargebacks, and recurring issues to identify opportunities for improvement.
• Process Improvement: Help maintain efficient warranty procedures that reduce errors, prevent chargebacks, and improve reimbursement timelines.
• Complete required manufacturer and company training and perform additional related duties as assigned.

Preferred Qualifications:

• Previous automotive dealership warranty administration experience.
• Knowledge of manufacturer warranty policies, claim procedures, labor operations, and automotive repair terminology.
• Stellantis warranty experience is a plus, but experience with other manufacturers is welcome!
• Experience with dealership management systems (DMS) and manufacturer warranty claim platforms.
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
• Strong computer, written communication, and problem‑solving skills.
• Ability to work independently while maintaining positive relationships across departments.
• Professional, dependable, and team‑oriented attitude.
