Job summary

Grubbs Family of Dealerships in Texas is seeking a detail-oriented Billing Clerk to support the accounting department. You will bill new and used vehicle deals, process repair orders, and ensure accuracy and timely posting to keep the store’s numbers clean.

The role requires strong attention to detail, familiarity with DMS platforms, and proficiency with Excel. You’ll work with sales, service, and F&I to resolve discrepancies and maintain audit-ready records while supporting the month-end close.

Qualifications

• Automotive dealership accounting or billing experience preferred.
• Strong attention to detail and accuracy with numbers.
• Proficiency with Excel and general office software.
• Highly organized, dependable, and deadline-driven.

Responsibilities

• Bill out new and used vehicle deals accurately and within the deadlines that keep gross recognized on time
• Process repair orders, parts invoices, and related paperwork with complete accuracy
• Verify documentation, costs, fees, and gross on every deal before posting — catching errors before they reach the schedule
• Maintain organized, reconciled records and support an on-time, clean month-end close
• Communicate proactively with sales, service, and F&I to resolve discrepancies quickly
• Keep deal jackets and accounting paperwork complete, compliant, and audit-ready
• Support the controller and office manager with schedules, reconciliations, and accounting tasks as needed
