Job summary

Grubbs Family of Dealerships is seeking a detail‑oriented Billing Clerk to support the accounting department. You will ensure deals and repair orders are billed accurately and on time, keeping our financial operation running cleanly.

Responsibilities include billing vehicle deals, processing repair orders, verifying costs, and maintaining audit‑ready records. This role supports month‑end close and requires strong Excel skills and familiarity with dealership software.

Qualifications

• Automotive dealership accounting or billing experience strongly preferred.
• Strong attention to detail and accuracy with numbers.
• Familiarity with DMS platforms (Tekion, CDK, Reynolds, etc.) a plus.
• Proficiency with Excel and general office software.
• Highly organized, dependable, and deadline‑driven.

Responsibilities

• Bill out new and used vehicle deals accurately and within the deadlines that keep gross recognized on time.
• Process repair orders, parts invoices, and related paperwork with complete accuracy.
• Verify documentation, costs, fees, and gross on every deal before posting — catching errors before they reach the schedule.
• Maintain organized, reconciled records and support an on‑time, clean month‑end close.
• Communicate proactively with sales, service, and F&I to resolve discrepancies quickly.
• Keep deal jackets and accounting paperwork complete, compliant, and audit‑ready.
• Support the controller and office manager with schedules, reconciliations, and accounting tasks as needed.
