Job summary

Grubbs Family of Dealerships is seeking a detail-oriented Billing Clerk to support our accounting department. You’ll bill new and used vehicle deals, process repair orders, verify documentation, and help keep month-end close accurate and on time.

The ideal candidate has automotive dealership accounting or billing experience, a sharp eye for numbers, and proficiency with Excel and common office software. Experience with DMS platforms (Tekion, CDK, Reynolds) is a plus.

Qualifications

• Automotive dealership accounting or billing experience preferred.
• Strong attention to detail and accuracy with numbers.
• Familiarity with DMS platforms (Tekion, CDK, Reynolds, etc.) is a plus.
• Proficiency with Excel and general office software.
• Highly organized, dependable, and deadline-driven.

Responsibilities

• Bill out new and used vehicle deals accurately and within deadlines that keep gross recognized on time.
• Process repair orders, parts invoices, and related paperwork with complete accuracy.
• Verify documentation, costs, fees, and gross on every deal before posting — catching errors before they reach the schedule.
• Maintain organized, reconciled records and support an on-time, clean month-end close.
• Communicate proactively with sales, service, and F&I to resolve discrepancies quickly.
• Keep deal jackets and accounting paperwork complete, compliant, and audit-ready.
• Support the controller and office manager with schedules, reconciliations, and accounting tasks as needed.

The Opportunity

We’re seeking a detail-oriented Billing Clerk to support our accounting department. You’ll ensure deals and repair orders are billed accurately and on time, keeping our financial operation running cleanly. Accuracy, speed, and follow-through are non-negotiable in this role — your work keeps the entire store’s numbers clean.
