Responsibilities

• Greet customers promptly and professionally to create a positive first impression.
• Assist Service Advisors with scheduling service appointments and daily workflow.
• Answer calls, emails, and texts, directing inquiries appropriately.
• Open and close repair orders accurately with complete documentation.
• Maintain communication with customers about appointment status and vehicle readiness.
• Coordinate with technicians, parts, and advisors to facilitate timely repairs.
• Verify customer and vehicle information in the dealership management system (DMS).
• Assist with warranty documentation and service contract paperwork.
• Maintain organized customer records and ensure policy compliance.
• Monitor loaners, shuttles, or rentals as needed.
• Follow up with customers after visits to ensure satisfaction and address concerns.
• Support service marketing initiatives, including maintenance reminders and confirmations.
• Keep the customer waiting area clean, stocked, and welcoming.
• Perform general administrative duties: filing, scanning, data entry, and reporting.
• Assist with maintaining service department performance metrics and daily reports.
• Ensure all customer interactions reflect the dealership's commitment to exceptional service.
• Perform other duties as assigned by the Service Manager or Fixed Operations Director.
