Job summary

VIVE Collision is seeking an experienced Auto Body Parts Coordinator in Cranberry, PA to oversee procurement, receiving, organization, and management of collision repair parts. This role supports production efficiency by ensuring timely, accurate parts and strong vendor relationships.

You will work closely with estimators, technicians, production, and management to maintain inventory accuracy, drive KPIs, and ensure profitability. Growth opportunities and paid training are available.

Qualifications

  • Must be at least 18 years old.
  • A valid driver's license and satisfactory motor vehicle record (MVR) required.
  • Previous experience in a collision repair parts department required, with leadership or management experience preferred.
  • Strong knowledge of automotive parts, collision repair processes, and OEM repair procedures.
  • Experience with CCC ONE estimating and management software is strongly preferred.
  • Proven ability to manage vendor relationships, inventory, and purchasing processes.
  • Strong organizational and time management skills with the ability to prioritize multiple responsibilities and meet production deadlines.
  • Excellent communication and interpersonal skills with the ability to effectively collaborate with technicians, estimators, vendors, and management.
  • Ability to read, interpret, and understand repair estimates, work orders, parts documentation, and technical information.
  • Basic computer proficiency, including Microsoft Office and inventory management systems.

Responsibilities

  • Order parts from approved vendors and dealerships based on repair estimates.
  • Monitor parts availability and proactively communicate delivery schedules, back orders, and delays to estimators and production staff.
  • Receive, inspect, verify, and document all incoming parts to ensure accuracy and quality.
  • Perform mirror matching of parts to repair orders before repairs begin to verify proper fit and completeness.
  • Identify damaged, incorrect, or missing parts and coordinate prompt returns, replacements, and vendor credits.
  • Maintain accurate inventory records and update parts status within the shop management system.
  • Track and monitor all parts deliveries to ensure production schedules remain on target.
  • Build and maintain strong working relationships with vendors, dealerships, and suppliers to ensure timely delivery and quality service.
  • Collaborate with the General Manager, Production Manager, Estimators, and Technicians to resolve part-related issues that could impact repair timelines.
  • Monitor and drive parts-related KPIs, including parts cycle time, gross profit, inventory accuracy, and return rates.
  • Maintain an organized, clean, and efficient parts department while ensuring proper storage and handling of inventory.
  • Ensure compliance with company policies, OEM repair procedures, and safety standards.
  • Coach and support Parts Clerks or other parts department team members as applicable.
  • When applicable, drive to pick up, transport, and deliver parts between vendors, suppliers, and the facility, ensuring parts are handled securely and delivered accurately and in a timely matter.
  • Perform additional duties assigned to support shop operations and overall business performance.

Position Summary

The Parts Coordinator is responsible for overseeing the procurement, receiving, organization, and management of all parts required throughout the collision repair process. This role ensures the right parts are available at the right time to support efficient production, minimize repair delays, and maintain profitability.
