Job summary

ACES ABA in Hawaii is seeking a Clinic Operations Manager to elevate clinic efficiency and service delivery. You will support scheduling, staff coordination, and client engagement, ensuring prescription fulfillment and smooth BI onboarding.

Under the Clinical Director, you will monitor BI performance, coordinate onboarding activities, and maintain a compliant, professional clinic environment, while coordinating with HR and leadership on staffing and retention.

Qualifications

• High school diploma or equivalent required.
• Minimum 4 years of experience in a professional office environment.
• Front desk or administrative support experience preferred.
• Strong customer service background; client-facing experience advantageous.
• Ability to work independently with minimal supervision.
• Proficiency in Microsoft Office and related software, including email and databases.
• Excellent organizational, time management, and multitasking skills.
• Professional demeanor, positive attitude, and polished appearance.
• Strong verbal and written communication skills; HIPAA compliance awareness.
• Comfortable in a fast-paced environment with daily deadlines.
• Receptive to feedback and adaptable to changing priorities.

Responsibilities

• Support daily clinic operations under Clinical Director guidance.
• Manage scheduling protocols and coordinate session rescheduling for in-center clients.
• Collaborate with Directors to meet prescription fulfillment and staffing needs.
• Oversee BI onboarding, tech setup, and early staff concerns.
• Monitor BI performance and address non-clinical conduct and retention risks.
• Coordinate center needs: supplies, repairs, and facility requests.
• Greet staff and caregivers at front desk; manage phones and sign-in/out procedures.
• Promote center events and ensure smooth front desk operations.
