  • Coordinates and manages physician clinic/procedure schedules with the RFA/Procedure schedulers.
  • Verifies demographics, referral, and insurance info of new patients, testing, and established patient.
  • Supervise the Referrals/Authorization staff to ensure referrals are processed accurately.

IMS Care Center is searching for a professional, compassionate and knowledgeable individual to fill the position Authorization Supervisor in our Cardiology Department. The Authorization Supervisor will be responsible for a variety of administrative tasks including submitting authorization requests for procedures, answering phones, scheduling, outgoing referral management, and coordinating with the patient to make sure they make their appointments The Authorization Supervisor will also be responsible for supervising the Referrals/Authorization staff and maintaining high standards of accuracy. Instill the IMS mission, vision and values in the work performed.

Responsibilities:

  • Submits authorization requests to insurance for ancillary services performed in the clinic
  • Manages ancillary schedules to ensure all tests/procedures are approved to be performed before the patient arrives for testing
  • Coordinates and manages physician clinic/procedure schedules with the RFA/Procedure schedulers
  • Verifies demographics, referral, and insurance info of new patients, testing, and established patient
  • Prep 7-14 days before verifying insurance/outstanding liabilities/medical documentation/informing patients of copay and deductibles
  • Re-schedules appointments/tests/procedures if needed due to insurance
  • Reviews and verifies patient coverage of insurance or other agencies and computes the charges to be paid by the patient
  • Answer all incoming calls and resolve the issues or route calls to the appropriate staff
  • Other referral and verification duties as needed for the smooth workflow and patient care
  • Knowledgeable in insurance(s) and authorization processes
  • Supervise the Referrals/Authorization staff to ensure referrals are processed accurately
  • Identify opportunities to improve performance and workflows
  • Implements eligibility verification as part of the referral/authorization process
  • Maximizes usage of on-line tools for authorizations and to support other procedures and processes
  • Ensures all pertinent information and tests are sent/uploaded to insurance carriers
  • Follow through with pending referrals/Authorizations in a timely manner
  • Takes accurate phone messages for referrals/authorization needs
  • Answers internal messages sent to the referral/Authorization department in a timely manner
  • Assists with new employee orientation and training as appropriate
  • Completes mandatory in-services education
  • Hours may vary and be outside of normal office hours

Healthcare experience is required

Education and Experience:

  • Minimum 2-3 years’ experience processing referrals and/or insurance verification required
  • At least 1 year of supervisor experience required
  • Previous experience with Athena system a plus

Required Knowledge, Skills and Abilities:

  • Knowledge of ICD-10, CPT codes, and insurance carriers’ claim requirements
  • Knowledge of insurance portals
  • Excellent oral and written communication skills
  • Communicate professionally with physicians and office staff
  • Strong organizational skills
  • Computer skills using Microsoft Office software, scheduling software, and email applications
  • Exhibit a courteous and professional manner when talking on the phone; answer phones promptly
  • Ability to take initiative, work well with an established team
  • Ability to work in a constant state of alertness and in a safe manner
  • Ability to work with minimal oversight and supervision
  • Ability to perform multiple tasks and prioritize workload
  • Ability to plan, coordinate and organize front office tasks and workflow
