Rated Sports Group is seeking an organized Hotel & Team Housing Coordinator to manage bookings, room blocks, and guest concerns for youth sports tournaments in North America. You will coordinate with hotels, maintain records, and ensure smooth event housing logistics across multiple departments.

The role demands hospitality experience, excellent communication, and the ability to handle fast-paced event environments, including on-site support during tournaments.

Qualifications

• Experience in hospitality, hotel reservations, travel coordination, or related field.
• Strong written and verbal communication skills.
• Excellent organization, attention to detail, and follow-through.
• Ability to manage multiple deadlines, reservations, and stakeholder requests.

Responsibilities

• Respond to housing-related questions by phone, email, and CRM.
• Coordinate with hotels to confirm reservations, guest names, room types, dates, and special requests.
• Build relationships with hotel partners and guests through professional communication and proactive follow-up.
• Review rooming lists and resolve missing information, discrepancies, and inventory issues.
• Process reservation changes, cancellations, and group block modifications.
• Communicate deadlines, rates, policies, and stay-and-play requirements to team managers.
• Investigate rate discrepancies and billing concerns; escalate complex matters as needed.
• Track room-block pickup and coordinate inventory with partner hotels.
• Maintain accurate records of communications, confirmations, and updates.
• Support hotel procurement and follow up on contracts and proposals.
• Collaborate with Sales, Accounting, Operations, and Event Management to align housing with logistics and goals.
• Assist with onboarding, data entry, oversell situations, and partner inquiries.
• Maintain housing FAQs and knowledge-base content.
• Use systems and spreadsheets to manage data, generate reports, and track performance.
• Provide on-site housing support at tournaments and assist teams and partners during events.
• Contribute to post-event reporting and process improvements.
