Job summary

Prince Contracting, LLC seeks an Administrative Assistant for the construction site area office. The position monitors site communications and performs duties as directed by the project manager. Candidates should have a high school diploma (associate degree preferred), at least two years in admin

  • Excellent organizational and communication skills; ability to handle confidential information.

Responsibilities

  • Effectively communicate job site issues to project team.
  • Process invoices.
  • Route documents and correspondence internally and externally.
  • Coordinate equipment transfers and maintain transfer records.
  • Assist HR/Project Field Coordinator with onboarding of new hires.
  • Prepare field purchase orders.
  • Maintain site communications systems and document control in SharePoint.
  • Order office and safety supplies.
  • Support safety program activities and expense reporting.
  • Maintain Certificate of Insurance records from vendors and subcontractors.
  • Maintain all employee and equipment time in Heavy Job.

Job description

The Assistant serves at a construction area office. He/she prepares and submits reports to the home office as required, assists with new hire processes, performs necessary logistical and financial tasks, distributes documents and manages files, monitors the communications systems at the site, and does all other tasks as deemed necessary by the project manager.

Job Requirements

  • High School Graduate, preferably an associate degree or equivalent
  • At least two years in an administrative or customer service environment
  • Must be able to use all Microsoft Office software and SharePoint proficiently
  • Excellent organizational skills
  • Excellent interpersonal skills
  • Excellent oral and written communication skills
  • Maintain the confidentiality of all documentation,informationand processes
  • Must be able tolift upto forty pounds on an occasional basis

Job Responsibilities

  • Effectively communicate job site issues to project team
  • Process invoices
  • Route documents, correspondence, both internally and externally
  • Communicate between all parties involved in equipment transfers, andmaintainthe equipment transfer records
  • Assist HR/Project Field Coordinator withon-boardingof new hires
  • Prepare field purchase orders
  • Maintain surveillance on the communications systems in use at the facility and in the field, noting deficiencies, and arranging for repairs when necessary
  • Maintain document control, to include filing and uploading to SharePoint
  • Order all necessary office and safety supplies for the office
  • Assistwith the safety program by showing safety videos to new employees,assistingin the preparation of First Reports of Injury reports and other safety documentation as needed
  • Create andassistemployees with expense reports
  • KeepaccurateCertificate of Insurance records from Vendors and Subcontractors
  • Maintain all employee and equipment time in Heavy Job
